You can access payroll history and pay stubs for any worker directly from your dashboard. This article walks you through both ways to find that information and explains what each section of a pay stub means.


πŸ” Viewing Payroll History & Pay Stubs

There are two places where you can view previous payroll history and pay stubs for a worker's payments that have been processed through the system.

⚠️Important Note: Pay stubs are only available for payments processed through the system. Pay stubs are not available for historical payments imported during implementation.

From the Dashboard

Use this option to view payroll history organized by pay date across all workers.

Click the arrow to see the process

  1. From the Dashboard tab, scroll to the Payroll Run List section near the bottom of the page.

  2. Click View details under the Actions column for the payroll run you want to review.

  3. On the payroll run details page, click View details next to any worker to open their pay stub.

  4. Click the Print Earnings Statement button to download the pay stub as a PDF.

From the Worker List

Use this option to view the full payroll history for a specific individual worker.

  1. Navigate to the Worker List tab from the employer's main page.

  2. Click on the name of the worker you want to view.

  3. On the worker's profile page, click the Worker Payments tab.

  4. You will see a table showing basic payroll details by pay date. Click any View details link to open the associated pay stub.

  5. Click the Print Earnings Statement button to download the pay stub as a PDF.


🧠 Understanding Your Pay Stub

A pay stub is a detailed record of a worker's earnings and deductions for a specific pay period. Here is a breakdown of each section you will see.

Personal Information

At the top of the pay stub, you will find the worker's name, address, employee identification number (if applicable), and the pay period covered (for example, "Pay Period Ending: MM/DD/YYYY").

Gross Pay

This section shows total earnings before any deductions. It includes regular wages, overtime pay, bonuses, and any other forms of compensation. Gross pay is the starting point for calculating take-home pay.

Tax Withholdings

This section breaks down the taxes withheld from the worker's paycheck:

  • Federal Income Tax: The amount withheld based on the worker's Form W-4 and IRS tax tables.

  • State Income Tax: The amount withheld for state income tax, if applicable.

  • Local Income Tax: Some municipalities have local income taxes, which will appear here if applicable.

Social Security & Medicare (FICA)

These two lines reflect the worker's FICA contributions:

  • Social Security: The amount withheld to fund Social Security retirement benefits.

  • Medicare: The amount withheld to fund Medicare healthcare benefits.

Deductions

This section lists any additional deductions that reduce take-home pay, such as contributions to retirement plans (for example, a 401(k)), health insurance premiums, and other voluntary deductions the worker has authorized.

Net Pay

This is the amount the worker receives after all taxes and deductions have been subtracted from gross pay. It is also referred to as take-home pay.

Year-to-Date (YTD) Information

The pay stub may include year-to-date totals for gross earnings, taxes withheld, and deductions. This helps track cumulative income and tax-related figures for the calendar year.

Employer Contributions

Some pay stubs include information on employer contributions, such as matching contributions to retirement plans, health savings accounts (HSAs), or other benefits the employer provides.

Can I view pay stubs for historical payroll data imported during setup?

No. Pay stubs are only available for payroll runs processed through the system. Payments imported as historical data during implementation do not have associated pay stubs.

Are there two ways to access a pay stub for the same worker?

Yes. You can access a worker's pay stub from the Payroll Run List on the Dashboard (useful when reviewing a specific pay date across all workers) or from the Worker Payments tab on the worker's profile (useful when reviewing all payments for a specific individual).

How do I download a pay stub as a PDF?

Once you have opened the pay stub, click the Print Earnings Statement button. This will download the pay stub as a PDF file that you can save or share.

What is the difference between gross pay and net pay?

Gross pay is the total amount earned before any taxes or deductions are applied. Net pay, also called take-home pay, is what the worker actually receives after all withholdings and deductions have been subtracted.

What does YTD mean on a pay stub?

Why might a worker's federal income tax withholding change from paycheck to paycheck?

Federal income tax withholding is calculated based on the worker's Form W-4 elections and the IRS tax tables. It can vary if the worker's gross pay changes (for example, due to overtime or bonuses) or if the worker updates their W-4 filing status or allowances.
