Waiver Management

Manage and automate customer waivers—set length of time of waiver, prompt renewals at login, email reminders, and admin controls.

🔔 Feature Update as of July 2024: Customers will receive an email in advance of their waivers expiring that includes a link to the Member App to sign.


⚠️ Waiver Requirements for Customers Turning 18
Once a customer turns 18, any waiver they previously signed as a minor is no longer valid.

To remain compliant, they must sign a new waiver as an adult.


📝 Overview

If a customer has not signed a waiver or has an expired waiver and logs into their online account, they will be immediately prompted to sign a waiver for all family members on the account. Another option to have your customers sign their waivers is to use the Kiosk feature.

Note: The Waiver you are setting up is for the entire company. The waiver system is not location specific.

To be able to access the waiver management tool, you will need to make sure the feature is turned on. This can be done from the "Integrations & Add-ons" page found under the Admin drop down menu.

➕ Adding Waiver to System

In order to upload a waiver, you must have the "Legal Authorization" Role. Typically, only one person per facility needs to have this specific role.

  1. Type in "Waiver Setup" in the global search box.

  2. If you are only editing the waiver status to inactive or active or changing the time period for signing, you can select the most recent (Current) waiver in the list.

  3. If you are needing to create a brand new waiver, you will need to press the "+" button to start from scratch.

  4. Type a name for the Waiver which will be displayed to the customer.

  5. Choose the time period for renewal.

  6. If you have created any waivers in the past and would like the customers who have those waivers to still be acceptable, check the box "Prior Waivers Active".

  7. Type in your employee password that you use to log into Dash.

  8. If it is the first time you are creating a waiver, you will see a Sample Waiver. Copy your new waiver text (Control C) and then highlight the text into Dash and paste it in (Control V).

  9. Once you have uploaded your waiver, scroll back up and Hit the Save button.

  10. Your waiver is now active and once a customer tries to log into their Dash Online account, they will be prompted to sign the waiver electronically.

In the settings section of the Waiver setup, there is a toggle to prompt the customers to confirm that they agree their waiver has been signed.

A link to the customer's signed waiver will appear at the checkout screen on the Online Member App.

✏️ Editing Existing Waivers

Current and non-current waivers can be modified. The pencil icon will take you into the "Edit Waiver" page. From there, you can change the Prompt to Sign Again duration or the Active status. You cannot change the waiver text itself in the edit mode. You have to either create a copy of an existing version or start a new waiver to modify the text.


Expired Waiver Reminder

Email reminders can be sent to customers reminding them to resign their waivers before they expire.

  1. In the Company Settings section, under the "Customer Settings", there is a toggle to turn on "Waiver Reminders". This toggle is "off" by default.

  2. Once you have switched this to "on", you can select how many days ahead the email reminder should be sent to remind customers of their waiver expiring.

🧑‍💻 Customer View: Signing a Waiver at Login

This is what customers see when they are required to sign a waiver upon logging in—either because they’ve never signed one before or an existing waiver has expired.

🔍 What Happens

Customers are prompted to sign a waiver in these scenarios:

  • They’ve never logged in before and no waiver is on file.

  • A waiver under their account (or for a child in their family group) has expired.

✅ Steps to Complete the Waiver:

  1. Review the waiver text shown on screen.

  2. Select family members to sign all waivers.

  3. Check the confirmation box to indicate they have read and agree to the terms.

  4. Enter initials and their online account password.

  5. Click Accept.

💡 The system automatically tracks signature status across family accounts. If multiple waivers are required, all relevant family members will be listed here.

Users with the waiver management authorization will see a delete button next to a customer's waiver from their customer profile page.

📊 Reporting

To view all of the customers in a given time period who have signed an online waiver or have added a Paper Waiver on their account, click the Reports button and then click All Reports. On the left hand side, select Customer and then "Waiver Report". You can also type in the global search box, "Waiver Report".

Each contract varies, please refer to your contract if there are any questions.

Below is the breakdown of the costs per waiver:

Online Waiver : $0.15 (all adults must sign a waiver in order to sign for their child)

Minor waiver: $0.05

Paper waiver: $0.15

⛔️ If an error message displays, follow the instructions provided to resolve:

"Access Denied Authorization required for action please contact support@dashplatform.com if you would like to activate online waiver management for your location. Ask for the 'Online Waiver Feature'. Please contact your system manager. Talk to a person so we can get this enabled for you."

  • ⚠️ Enable automated reminders - Turn on waiver reminder emails so customers are prompted before expiration. This reduces missed signings and improves compliance.

  • 🧠 Plan for minor-to-adult transitions - When a minor turns 18, their waiver becomes invalid. Monitor birthdays or set reminders so they re-sign as adults.

  • 💬 Provide multiple signing options - Customers can sign via the Member App, online account login, or a self-service kiosk—making the process flexible and convenient.

  • ⛔️ Restrict waiver setup access - Only assign the Legal Authorization role to staff who need it. This protects sensitive documents and prevents mistakes.

  • 📌 Keep it simple with one waiver - Waivers apply company-wide, not by location. Use a single waiver template to avoid confusion or duplication.
