Working with Actions

Actions placed on inventory items can streamline a number of different tasks, that will save time and keep data accurate.

Overview

Actions include the ability to change a patient’s status to deceased or inactive, change the patient’s sex to neutered or spayed, print a rabies, vaccination or reminders certificate, create tasks, and disable the reminders for related items. Multiple actions can be assigned to the same item or to a bundle. Actions are meant to automatically do a task for you, so it not only saves time, but allows for information to not be forgotten.

Actions are triggered when a new record is created for the applicable inventory item. The "actions" field that appears when creating a new record will list all of the actions associated with that item. Specific actions can be disabled on a case-by-case basis by clicking on the "x" next to the applicable set of actions. You can also click the field "actions" field to add back any action that was removed.

  • Print Certificate - Allows you to prints rabies, vaccination or reminder certificate by opening the certificate in a new browser tab for printing. Tip: This action is only necessary if the user wants to print the certificate at the time of the vaccine medical record creation. Otherwise, the certificate can be printed through the checkout process.

  • Change Patient Status - Changes the patient's status to inactive or deceased, and provides the option to disable the patient's reminders. This is commonly used on Euthanasia inventory items.

  • Add Attachments - This action will allow you to select any attachment added to the attachment library (Settings > Templates > View Attachments) and will automatically add that attachment to the patient attachments when the record of this item is added. Once an attachment is uploaded to the patients documents, you can print it or email from the gear icon to the right of the attachment.

  • Change Patient Sex - Changes the patient's sex to spayed/neutered. Use on spay and neuter charges to automate changing the patient's status after a procedure.

  • Create Reminder - Creates a reminder for the applicable item. Click here to learn more about setting up reminders.

  • Create Alerts - Create Low Balance or Expiration alert for the item. These alerts are managed from the Inventory > Alerts tab once the action has been added.

  • Create Task - Creates a task for your staff. Tip: When assigning a task action, it is useful to add the task to a staff role instead of an individual, so it does not get missed if an individual staff member is not present.

  • Disable Reminder - Completes any active reminder for another inventory item (or items). Click here to learn about disable reminders.

  • Create Letter - Generates one or more letters into the applicable medical note or patient profile.


Adding an action to an inventory Item

  1. Navigate to the applicable inventory item

  2. Click "Actions" and select "New action"

  3. Complete the form that appears, including by selecting the desired action and completing the additional values associated with the action

Editing or Viewing an Existing Task

Once an action is added, it can be viewed from the Actions > View Actions within the item. From there, the task can be edited or deleted from the gear icon to the right of the task.


Adding an action to a Bundle

  1. Navigate to the applicable bundle (for more information about bundles, see Managing Bundles)

  2. Click "Actions" and select "New Action"

  3. Complete the form that appears, including by selecting the desired action and completing the additional values associated with the action

A bundle will inherit an item's actions by default when that item is added to the bundle.
