Working with Letters

Learn how to create and work with a letter template throughout the software.

Overview

Letter templates are preformatted documents designed for efficient communication with clients, including discharge instructions, health certificates, consent forms, and more. They can also be used for internal purposes, such as travel sheets and anesthesia monitoring. These templates are tailored to specific clients and patients by leveraging dynamic variables that automatically populate relevant information, ensuring accuracy and personalization.

Creating Letter Templates

  1. Click on "Settings"

  2. Click on "Templates" and select "New Template"

  3. Complete the form that appears (make sure to select "letter" as the type") and click save. You will be redirected to a blank letter template.

  4. Enter your letter content

  5. Format the content as desired

  6. Insert the applicable variable from the left side of the page

  7. Click "Save"

On the right hand side of the letter, you will be able to add variables within the letter. These variables will automatically pre populate with the applicable information when the letter is used. This allows you to save time, and have each letter automatically prefill with all the pertinent information when the letter is used.

You can customize the format of the letter with the edit options on the top header bar. letter as well. Some highlights: You can adjust the header size with the "Paragraph" drop down, Select your text font and size, embed a link with the "+" drop down, and create a table from the second to last header option on the right. Editing Existing Letter Templates

  1. Click on Settings

  2. Click on "templates" and select "view letters"

  3. Click on the name of the applicable template

  5. Make the desired changes

  6. Click "save"

Letter Templates in Medical Notes

  1. Navigate to the applicable medical note

  2. Click on "documents" and select "new letter"

  3. Complete the form that appears

  4. Click "save." You will then be redirected to the letter, which will appear in print preview mode.

Edits made to a letter will only apply to the current letter - they will not change the template that was used to generate that letter.


Using a Letter Template in Client Profile or Patient Profile

  1. Navigate to the applicable patient or client profile

  2. Click on "Documents" and select "New Letter"

  3. Complete the form that appears

  4. Click "Save"

Using a Letter Template when Checking In

Click the arrow to learn more

  1. Click on "Schedule"

  2. Click on the applicable appointment

  3. Click on "check in"

  4. Select the letter(s) you wish to print in the "print letters" field

  5. Complete the check in process

Deleting a Letter Template

Click the arrow to learn more

  1. Click on "Settings"

  2. Click on "Templates" and select "View Letters"

  3. Click on the gear icon next to the letter you wish to delete and select "Delete Template"

  4. Confirm your intent to delete the letter template
