This outlines the steps to connect and use the Google Drive Sync feature for managing hatting materials in DDS Dashboard.
1. Access the Library Tab
Navigate to the Library tab in DDS Dashboard.
Click on the Packs tab located near the top of the page.
2. Connect Google Drive
Locate the Google Drive Sync option in the top right corner.
Click on it to initiate the connection process.
Follow the on-screen instructions to authorize access to your Google Drive account.
3. Select the Main Folder
After connecting, a list of folders from your Google Drive will appear.
Identify and select the main folder that contains the references for your specific hat pack (e.g., Receptionist Hat).
4. Create the Hat Pack
Click on Create Pack after selecting the appropriate folder.
The selected Google Drive folder will now be created as a hat pack.
5. Understand Syncing and Updates
Synced hat packs will have a Google Drive indicator.
Each reference in the pack will be a link to the corresponding Google Drive file.
Any changes made to Google Docs will automatically reflect in the hat pack.
6. Resync the Hat Pack
To update the hat pack with any changes (additions/removals) in Google Drive, click on Edit Pack.
Select Resync with Google Drive to ensure the hat pack is current.
7. Manage Google Drive Permissions
Remember that Google Drive permission settings apply to the files linked in the hat pack.
If an employee lacks access to a file in Google Drive, they will not be able to view it in DDS Dashboard.
8. Update Sharing Settings
To allow employees to view references, go to the relevant folder in Google Drive.
Click on Share and change the general access to Anyone with the link - Viewer.
Cautionary Notes
Ensure that all team members have the necessary permissions to access the Google Drive files linked in the hat packs.
Regularly check and update sharing settings as needed to avoid access issues.
Tips for Efficiency
Organize your Google Drive folders clearly to make it easier to select the correct main folder for hat packs.
Regularly resync your hat packs after making changes to ensure all team members have the latest materials.
