VCI Credit App and Contract Validation User Guide

1. Introduction

This guide walks you through the process of submitting credit applications, handling contract validation after funding approval, and retrieving customer contract PDFs.


2. Process Overview

Below is a high-level summary of the process:

  • Submit Credit Application and get customers to sign the credit application form

  • Await Volkswagen Credit Funding Approval

  • Submit Contract for Validation and get approval

  • Retrieve Validated Contract PDF

  • Provide PDF to Customer

  • Upload the edoc


3. Step-by-Step Instructions

Step 1: Submit Credit Application

• Navigate to the Credit Application module

• Make sure fill out the customer basic information from the customer card/deal

  • First name and Last name

  • Date of Birth

  • Work status

  • Address

Fill out phone numbers

Example

  • Enter the correct Financial institution to get valid bulletin number and rate

  • VW/Audi Financial Service, choose a program and bulletin number will pop up automatically

  • Choose vehicle use purpose from a list of selections:

• When deal is ready, click send to VCI button to review all the missing information

Personal info is read-only in the tab but you can always go back to deal to edit, this is to make sure your customer’s tax region is properly calculated from the deal page before sending to VCI for funding


- Fill out residential history ( garage address is required for all lease deals) - If a customer is working, fill out work history ( Please include work history in the past 2 years, otherwise cannot go through Deskit-VCI process) - If a customer is unemployed/retired, please make sure they have at least one other income - Reference is optional - Privacy is for marketing purposes - For QC only, there are QC disclosures that must be disclosed and consented to submit the credit application

Submit to Volkswagen Credit for review


Step 2: Monitor Funding Approval

• You will receive a notification via email when funding is approved/withdrawn/declined.

• You may also check the application status manually from the deal ledgers or VCI pop up


Step 3: Submit Contract for Validation

• Once funding is approved, go to the “Contract Submission” section.

• Fill out vehicle insurance as it’s required

• Excess km charge cents is required for lease deals

• Submit the contract for data validation

• Receive approval/declined status from VCI


Step 4: Retrieve Validated Contract PDF

• After successful validation, a downloadable contract PDF will be generated with contract ID printed on it (successful contract ID should be combined with application number and a “.” after it)

• If customer information is modified and deal numbers are changed, needs to go back to the credit app to resubmit the credit app then resubmit contract only when credit app is approved.

• If customer needs French version of contract, please go to language setting to change your current language, then go back to VCI contract tab to resubmit the contract validation to get French contract.

This PDF includes all pages of the signed contract, including any addendums or supplemental forms.


Step 5: Provide PDF to Customer

• Ensure the customer reviews and signs any final delivery receipts if applicable.

Common Issues & Troubleshooting
