1. Credit Application
1.1 How to Use
When selecting VW/Audi as lender, the deal will populate additional fields:
- bulletin number (required)
- coupon code
- marketing code
- special program (e.g., Ambassador)
Make sure you fill out the buyer customer basic information from the customer card/deal
Required fields:
- First name & Last name
- Date of Birth
- Work status
- Address
- phone numbers (work phone & home phone)
Example below:
Make sure the lienholder in the deal is VW/Audi Finance Canada.
Select the incentive program from the pop-up, the correct bulletin number will be automatically pulled to the deal worksheet.
Choose vehicle use purpose from a list of selections:
Ensure the information on the deal is correct. Please select the FI manager in the deal.
When deal is ready, click send to VCI button to review all the missing information
It shows icons and message for the required fields.
Under Residential History, garage address is required in lease deals. Current Residential address is always required. Previous address is optional
If a customer is working or unemployed, please fill out work history (📌 At least one Current Employer is always Required, except when Applicant is Retired. A Previous Employer is required when time at Current Employer is less than 2 years
If a customer is unemployed/retired, please make sure they have at least one other income
Other fields for Credit Application:
- Reference is optional
- Privacy is for marketing purposes
- For QC only, there are QC disclosures that must be disclosed and consented to submitting the credit application.
Once all the required fields are filled, please submit to VCI for review.
1.2 Common Errors: Credit Application
Even when buyer/Co-buyer/Guarantor is unemployed, VCI data structure still requires us to send at least 2 years of employment history.
2. Contract Validation
2.1 How to Use
Once Credit is approved, the Contract tab will show up.
Fill out vehicle insurance (Required for lease deals). Vehicle Insurance (including "Collision", "Comprehensive" and "Liability") is required to be sent for Canada Lease.
Submit the contract for data validation
After successful submission of the contract (it does not necessarily mean the contract is approved by VCI), a downloadable contract PDF will be generated with App# printed on it. If the contract does not pass the VCI validation yet, the printable contract will show the App# from Credit app. If it passed VCI validation, the approval number will be printed on the contract. It’s typically the App# from Credit App with “.” and the times of Contract attempts.
Receive Contract Validation Result from VCI.
- If the contract does not pass the validation from VCI, it would show the error message based on the information deskit sent over. Please adjust accordingly to pass the validation.
Common Errors: Contract Validation
1. Bulletin number is not correct. VCI will return the valid bulletin numbers in the error message. Please review the bulletin number and select the correct one.
2. Incorrect rate/require a rate buydown à program APR is incorrect, or the APR does not match the selected bulletin. This is common when the loyalty rate is used in the deal but the bulletin is not selected.
3. Calculation issues (Normally caused by incorrect product mappings) please reach out to deskit support teams
4. The amount financed in contract validation is higher than the approved amount in credit section. à Please re-submit Credit, and then once it’s approved, submit contract again.
5. If switching to another language, deskit will show a warning. Please submit the contract again with the new language selected.
3. eDoc Submission
3.1 How to Use
Once the VCI returns contract validation result, the EDOC section will be shown under the Contract tab. The original funding status is Awaiting.
Please make sure there are no changes needed in the deal. Once submitted eDoc, the Contract cannot be re-validated. If you want to make any modifications in the deal worksheet, please submit the contract again.
Customers must provide consent before submitting the Edoc, with the consent captured in both English and French.
After consent, A list of files will be shown. All the files with * are required by VCI based on the contract submitted earlier.
At this stage, the funding status becomes Preparing/Uploading. Please choose the file, and then click upload to upload the files. The successfully uploaded files will have the file name listed with a upload time. Only PDF and TIFF formats are supported.
Most files required in e-Doc can be found in deskit forms, such as insurance form/BOS/customer identification form etc.
Once uploaded all the required files, please send the e-Doc
After they have been sent, the funding status will be changed to Sent/Received/In Process
At this stage, any changes in the deal can still be made but cannot be re-validated anymore.
When funding status is being Held, there will be specific reasons/errors under the held doc and you will need to reupload the held doc to submit again. After replacing it with new file, the error message will disappear.
When funding status is Booked, it means deal is closed in VCI, dealer is unable to change the deal anymore unless open a new application.
3.2 Common Issues: eDoc Submissions
It keeps loading – can wait for at least three mins and then refresh the browser. It’s due to the data space or one of these files might be too large to process
I can’t upload a file when it’s more than 10MB. A warning will appear
I didn’t see submit button. This means you will need to upload all required files
