Summary


VCI Integration in deskit handles the full VW/Audi Finance Canada deal flow in three stages: Credit Application, Contract Validation, and eDoc Submission. Once you select VW/Audi as lender, deskit auto-pulls the correct bulletin and rate, validates the deal against VCI’s program rules, and routes the signed contract package electronically — eliminating the courier round-trip.

A typical flow: fill the customer card, click Send to VCI, get credit approval (often auto-approved), submit the contract for validation, then upload the eDoc package. Funding status updates live from Awaiting → Sent/Received/In Process → Booked, so you always know where the deal stands. Most required documents are already generated inside deskit (BOS, insurance form), so eDoc upload is largely drag-and-drop. Result: faster funding, fewer chargebacks, no lost paperwork, and a fully auditable digital trail.

STEP 01

Set Up the Deal

Pick VW/Audi Finance Canada as the lienholder. Choose the incentive program

from the pop-up — deskit fills in the bulletin number, rate, and residuals

automatically.

No need to look up the bulletin in the rate book. Pick the program and deskit pulls the right one to the deal worksheet.

STEP 02

Send the Credit App

Fill in the customer card from the buyer record, then click Send to VCI. deskit

highlights anything missing so you can fix it in seconds.

STEP 03

Validate the Contract

Once credit is approved, the Contract tab appears

Add vehicle insurance for leases(optional)

Then submit. deskit returns a printable contract with your approval number

💡 TIP

Your approval number is your Credit App # with a dot and the attempt count — e.g., 61011945.1 means first contract submission.

STEP 04

Send the eDoc

deskit shows a checklist of required documents. Most are already in deskit forms

(BOS, insurance) Upload, click send, and watch funding status move to Booked.

Upload all necessary documents in one single scanned PDF

Upload individual PDFs.

The reference below covers each phase of the VCI flow in detail — every required field, the meaning of each funding status, and how to resolve common validation messages. Use it when a deal needs more than the four-step path.

1. Credit Application

1.1 Setting Up the Deal

Select VW/Audi Finance Canada as the lienholder. deskit immediately surfaces the VW-specific

deal fields:

Bulletin Number — auto-populated when you pick the program

Coupon Code

Marketing Code

Special Program (e.g., Ambassador)

Choose the incentive program from the pop-up. deskit pulls the matching bulletin number

directly to the deal worksheet, eliminating manual lookup against the VCI rate book.

1.2 Customer Information

Fill the standard buyer card from the customer record. Required fields:

• First and Last Name

• Date of Birth

• Work Status

• Address

• Work Phone and Home Phone

Then select Vehicle Use (Personal, Business, Agricultural, Commercial, or Other) and assign

the FI Manager in the Sales Team panel.

1.3 Submitting to VCI

When the deal is ready, click Send to VCI. deskit will validate and flag any missing required

fields with inline icons and clear messages — fix them in place and resubmit.

Residential History: Current residential address is always required. For lease deals, a garage

address is also required. Previous address is optional.

Work History: Include at least one Current Employer (except for Retired applicants). Add a

Previous Employer when time at Current Employer is less than 2 years.

Other Income: Required for unemployed or retired applicants.

Reference: Optional.

Privacy: Marketing-purpose consent.

Quebec disclosures: Quebec deals include additional disclosures that must be presented and consented to before submission.

Once required fields are filled, click Send to submit the credit application to VCI. Most clean

applications return an auto-approval decision quickly.


2. Contract Validation

2.1 Receiving Approval

Once credit is approved, the Contract tab appears in the deal. The approval comment includes

the bulletin terms, rate protection window, and standard VCI funding conditions.

2.2 Vehicle Insurance and Additional Info

For lease deals, fill the Vehicle Insurance section. Required fields include Insurer, Address,

Insurance Agent, Policy Number, Effective Date, and the three deductibles (Collision,

Comprehensive, Liability). Not required, its optional.

The Additional Info section captures any rebate-to-cash details and the per-kilometre excess

charge for leases.

2.3 Submitting for Validation

Click submit and Deskit sends the contract to VCI for data validation. After successful

submission, a downloadable contract PDF is generated with the application number printed on

it.

When the contract passes VCI validation, the approval number on the printable contract is the

Credit App number followed by a period and the contract attempt count — for example,

61011945.1 indicates the first contract submission for application 61011945. This makes it easy

to track which version of a contract is the funding-approved one.

If a validation message comes back, common scenarios are straightforward to resolve:

Bulletin selection: VCI returns the valid bulletin numbers in the message — pick the

matching one and resubmit.

Rate alignment: Loyalty or program rates need their corresponding bulletin selected.

Calculation alignment: Adjust product mappings or contact Deskit support.

Amount financed alignment: Resubmit credit, then resubmit the contract.

Language switch: Resubmit the contract in the target language so the printable matches


3. eDoc Submission

3.1 Preparing the eDoc Package

After contract validation, the eDoc section appears under the Contract tab. Initial funding status

is Awaiting.

Customers provide consent in both English and French before the package can be submitted,

satisfying VCI’s bilingual requirements automatically.

3.2 Uploading Documents

deskit displays a checklist of files based on the contract submitted. Items marked with an

asterisk are required by VCI. Funding status moves to Preparing/Uploading as you work.

Typical required documents include:

• Bill of Sale

• Lease Agreement / Conditional Sales Contract

• Credit Application

• Customer Identification Form

• Vehicle Insurance Form

• Vehicle Registration

• Pre-authorized Payment Plan Agreement

• Void Cheque

• Articles of Incorporation and Corporate Resolution (commercial deals)

• Wear Protection (where applicable)

Most of these are generated directly inside Deskit forms, so you can upload them in seconds.

Use Batch Upload to upload a single file of all necessary documents

OR

Individual files must be PDF or TIFF and under 10 MB. Successfully uploaded files show the filename

and an upload timestamp.

3.3 Sending the eDoc

Once required files are uploaded, click send. Funding status moves to Sent / Received / In

Process.

Status definitions:

Status

Meaning

Awaiting

eDoc has not yet been sent.

Preparing / Uploading

Files are being added to the package.

Sent / Received / In Process

VCI has the package and is reviewing it.

Held / Held Offering

A specific document needs replacement; the reason is shown beside the held doc.

Booked

Deal is closed in VCI and the funding is complete.

If a document is held, the reason is displayed next to the file. Replace it and resubmit — the held flag clears automatically.

3.4 At a Glance

  • Use deskit-generated forms wherever possible to skip the scan step.

  • Watch the funding status panel — it tells you exactly where the deal stands and what action, if any, you owe VCI.

  • A Booked status confirms the deal is funded and complete.
