Retail Delivery Reporting (RDR) is how your dealership officially notifies BMW Canada that a vehicle has been delivered to a customer. deskit handles RDR submission with a single button on the deal screen — no separate portal, no manual data re-entry.

The flow is simple: once your sales and F&I staff have BMW Mapping set up (a one-time profile step using BMW-issued passport numbers), any deal with complete delivery info, buyer details, and a real stock vehicle can be RDR’d in seconds. Click BMW RDR, deskit pre-checks every required field against BMW’s rules, then click Send. A timestamp confirms the submission.

If anything’s missing, deskit highlights it before you submit — so you never accidentally send an incomplete RDR. Result: every delivery reported, every time, with a clean audit trail.

STEP 01

Set Up BMW Mapping

Required before sending RDRs. Each salesperson and F&I manager (if on the deal) must have a BMW Passport Number added to their deskit user profile.

BMW issues passport numbers to dealerships. Get the list from your BMW representative and enter each one against the matching deskit user profile.

STEP 02

Finalize the Deal

RDRs require a finalized deal with a delivery date of today or earlier, buyer’s full name, an assigned salesperson, and a real stock vehicle (not a custom designed placeholder)

STEP 03

Click BMW RDR

Find the BMW RDR button at the bottom-right of the deal screen. Click it. deskit runs every BMW required-field check in and surfaces anything missing.

If anything’s missing, Deskit shows a clear warning for each missing field. Fix and click again — the Send RDR button appears once everything passes.

STEP 04

Send and Confirm

Once warnings are resolved, the Send RDR button appears. Click it. deskit transmits the report to BMW Canada and shows a timestamp on the deal screen the moment it’s sent.

1. About Retail Delivery Reporting

RDR (Retail Delivery Reporting) is how a dealership officially notifies BMW Canada that a vehicle has been delivered to a customer. The submission flows directly from deskit to BMW — no portal switching, no duplicate data entry.

1.1 When to Send an RDR

Send an RDR only after the vehicle has been delivered. The delivery date must be today or earlier.


2. Mandatory Pre-Checks

Before sending the RDR, confirm the following on the deal:

  • Delivery date is entered and is today or earlier.

  • Salesperson is added to the deal and BMW-mapped.

  • F&I manager is BMW-mapped (only if an F&I manager is on the deal).

  • Buyer first and last name are entered.

  • Vehicle is a real stock unit, not a custom placeholder.

deskit verifies every one of these checks automatically when you click BMW RDR — you don’t need to manually walk the list, but knowing what’s required helps you set up clean deals from the start.


3. Submission Workflow

3.1 Click BMW RDR

On the Deal Screen, the BMW RDR button is in the bottom-right corner. Clicking it triggers deskit’s pre-flight checks against BMW’s required-field rules. If anything is missing, warnings appear and the Send RDR button is hidden until they are resolved.

3.2 Resolve Any Warnings

Each warning points to the specific field that needs attention. Fix the field, click BMW RDR again, and deskit re-runs the checks. Repeat until everything passes.

3.3 Send the RDR

Once all warnings are cleared, the Send RDR button appears. Click it to submit the delivery to BMW Canada. The submission happens in real time.

3.4 Confirmation

After successful submission, deskit displays a timestamp confirming exactly when the RDR was sent.


4. Warning Messages

When deskit’s pre-flight checks find a missing or invalid field, one or more of the following warnings will appear. Each one is paired with the action that resolves it.

Buyer’s first and last name are required.

Complete the buyer name fields on the customer card.

Salesperson BMW passport mapping is missing.

Open the salesperson’s user profile and enter their BMW Passport Number.

F&I manager BMW passport mapping is missing.

Open the F&I manager’s user profile and enter their BMW Passport Number. (Only applies if an F&I manager is on the deal.)

Custom or non-stock vehicle warning.

Replace the placeholder with a real stock vehicle from inventory.


5. BMW Mapping Setup

BMW issues passport numbers directly to dealerships. Each salesperson and F&I manager who appears on a deal must have a valid BMW Passport Number on their deskit user profile before any RDR involving them can be sent.

5.1 Steps

Go to User Setup.

  • Open the salesperson’s or F&I manager’s user profile.

  • Enter a valid BMW Passport Number in the BMW Mapping field.

  • Save the profile.

5.2 Notes

  • Passport numbers are issued by BMW — obtain them from your BMW representative.

  • Mapping is a one-time setup per user. New hires and role changes are the only situations that require returning to this screen.
