Team Tasks Results Report

Dental Intelligence offers two separate task management tools: Team Tasks in the unified Dental Intelligence dashboard and Follow Up Tasks in the Analytics-only portal. The functionality between these tools is different.

The Team Tasks Results Report gives you a real-time view of how your team is performing on patient follow-up. It's a fast, filterable review of a specific week or task type, with the ability to drill all the way down to an individual patient and task.

Looking for data across multiple locations or want to see trends over time? The Team Tasks Results Report only covers one location at a time for a weekly time period. If you need a combined, multi-location view, use Team Member Scorecards instead.

Where to find it

Go to Follow Ups > Team Tasks > Results (next to the Tasks List and Settings tabs).

How it works

Filter your view

Date range — Click on the calendar button to move week to week, or select a custom range to review any period of activity. Defaults to showing all activity for the current month.

Type filter — Click on the Type dropdown to narrow the report to a specific Team Task type:

  • Appointment Confirmation

  • Hygiene Recall

  • Broken Appointment

  • Outstanding Treatment

  • Past Due Account

  • Post-Op

  • Conversation

  • Form Signature

  • Other

Defaults to all task types.

Activity by filter — Click on the Activity by dropdown to narrow the report to one or more team members. This list also includes "Dental Intelligence," which represents tasks completed automatically rather than by a staff member. Defaults to all team members.

Summary tiles

At the top of the report, summary tiles surface your headline numbers based on whatever you've filtered to — total Attempts, total Contacted, total $ Scheduled and/or total $ Collected. Use these for a quick read on performance before digging into the details below.

Click on any blue, bolded number in the results table to open additional details, showing the actual patients and tasks behind that number.

A few things to know:

  • Not every column populates for every task type. For example, filtering to Past Due Account Tasks will show $ Collected but leave Patients Scheduled and $ Scheduled blank, since collections tasks don't drive scheduling.

  • The Total row at the bottom only reflects whatever Type and Activity by filters you currently have applied — not all Team Tasks activity for the location. For example, if you filter to Outstanding Treatment and two team members, the Total row sums just those two people's Outstanding Treatment activity for the selected date range. If both filters are left on All, the Total row reflects the totals for the whole location.

  • This Team Tasks Results Report is location-specific — it only shows activity for one location at a time. If you need a combined, multi-location view, use Team Member Scorecards instead.

Understanding the Total By User and Total by Automation Rows

At the bottom of the table, two rows roll up your results:

  • Total by User: Sums the activity completed by your team members; the outreach they logged, patients they reached, and tasks they completed by hand.

  • Total by Automation: Sums the tasks that enabled TouchPoints™ completed automatically, without ever needing a team member to work them.

The Total by Automation row is where the value of the connected workflow between TouchPoints™ and Team Tasks shows up directly in your numbers. When a triggered TouchPoint™ message successfully reaches and reschedules a patient — confirming an appointment, filling a broken appointment, or bringing back an overdue hygiene patient — that task is resolved automatically and never lands on a team member's list in the first place. Total by Automation is a running count of that work: follow-up your practice completed without a single phone call, and time your team got back to spend on patients in the chair.

The more that number grows relative to Total by User, the more your automated campaigns are absorbing routine outreach — letting your team focus their attempts on the patients who need a human touch to get scheduled.
