One of the most important metrics is provider's Production per Hour. For Dental Intel to be able to calculate this number, we need to know how many hours each provider is available to be chair side with patients, hence Clinical Hours!

ACTION: Assign a team member to update Clinical Hours daily!

Note: Only team members with the "Provider's Clinical Hours" privilege can see and edit Clinical Hours. Only team members with the "Track Provider Hours" privilege will appear in Clinical Hours.

Best Practice
On the first day of the week and the first day of the month review and ensure the providers scheduled hours are correct for the coming week or month.

Step-by-Step Instructions:

First, navigate to Settings and then click on Clinical Hours:

2. Set Scheduled Hours - Find the provider whose hours you are entering. Click on "Schedule" to set the scheduled hours for that day. Click "Off" if that provider is off for that day of the week (this will set the scheduled hours to "0"). Use the "Repeats" menu to set repeating hours that occur week after week. Each day for each provider must have hours scheduled ("0" for days off, and hours scheduled for the days working).

  1. To edit "Scheduled Hours", click on the "pencil" icon, put in the new hours, and click "save

  2. Set Actual Hours - after you have set scheduled hours, update "actual hours" day-by-day. SimpIy click on the "actual hours" box, enter in the hours, and click "Enter" on your keyboard. If no actual hours are entered, it will default to scheduled hours

The reason we have scheduled hours is so that we can set accurate production per hour goals per provider. Then we can automatically calculate daily, weekly, monthly production goals. 

If a provider comes into the office at 8:00 am and leaves the office at 5:00 pm, that is a 9 hour day. Yet, this provider had a 1 hour lunch and a 2 hour meeting with the team. The provider is available for 6 Clinical Hours.

Enter in the number of hours that each provider is available for production. Every day must be scheduled or set to zero hours.

The reason we have actual hours is so that we can have accurate Production per Hour numbers for our providers.

When a provider works late with emergencies or leaves early because a patient canceled, the hours that the provider is available increases or decreases from scheduled hours.

At the end of each day, quickly review the clinical hours and enter in the actual hours. Use the tab button to quickly move from provider to provider

DO NOT CHANGE SCHEDULED HOURS (unless the provider is scheduled for different hours on that particular day).

Helpful Tip: To get a good idea of your past performance, add the previous three months of scheduled hours.

If a provider doesn't show up in the list on the Clinical Hours page:

There is a drop down just below the date picker on the Clinical Hours page. Click on that button:

Then, click Non Clinical and then click Track Provider Hours under the provider names you want to set Clinical Hours for:

That provider will now show up under All in that drop down menu so you can enter their Clinical Hours!
