Editing Form Submissions

Edit submission values entered in previously submitted forms

Editing the answers of previously submitted forms is possible through the Device Magic Database destination. This destination is setup by default when a form is created.


Granting Permissions

Users with the Owner role are given permissions for this feature by default. Users in other roles will need to be given the "Submissions - update" permission. You can find out more about user roles and permissions here.

Note: There are two different editing options that are available - if either of these is not enabled on your account, please reach out to us at support@devicemagic.com for more information.


Editing Form Submissions

To edit the submission values, navigate to your “Forms” page from your organization’s dashboard, and locate your form. 

From there, click the button in the submissions column next to your form or click on the setting icon on the right hand side of the form and click on submissions.

Note: If there are no submissions for this form, this button will read "0".

You'll then be redirected to your Submissions page. If you have submissions in your Device Magic Database, you will see a list like this:

To edit a submission, scroll to the right and click on one of the two edit options.

Option 1: Submission Editing via table

This editing option is accessed by clicking on the pencil icon in the submission's row. 

Once you do so, you will notice that the submitted answers are now editable. Make any necessary changes and select Save when you are done.

Note: editing a submission via this method allows for any data to be input into the fields regardless of what rules are in place on the form. This method does not support adding, editing, or removing images or adding or removing data in repeat groups. Calculations are also not automatically updated (though they are editable manually).

Once the submission has been edited, it can be resent to its destinations. Check out this article for instructions on how to resend the corrected submission.

Option 2: Submission Editing via Web Forms

This editing option is accessed by clicking on the pencil inside a form icon.

Clicking on this icon will take you to the Web Form to edit the submission. This is useful if you have a lengthy form with many repeat groups and/or subforms or you just want the same experience as the original user filling out the form. There are some key differences with this method of editing:

  • Repeat groups can be added or removed

  • Images can be added or removed

  • Calculations will run automatically and update as part of any changes

  • All form conditions/requirements apply (i.e. Active, Required, Read-Only, Validation)

Clicking the 'Save' button in the Web Form will save your changes to the submission and take you back to the Submissions page. While the changes are saving to the system an 'info' icon will be displayed. The size/complexity of the form and quantity of images will affect how long this process takes. Once the process is complete (you can verify by refreshing the browser window and seeing the info icon is gone and the 'edit' icon is back), the submission can be re-sent to any necessary destinations.

Viewing Previously Edited Submissions

When a form submission has been edited, the answers will be marked with a small blue triangle in the upper left hand corner of the cell. 

Hovering over this triangle will allow you to view information about the most recent edit. This includes the author, timestamp, and the previous answer.


Important Notes & Limitations

  • There is no way to revert values at this time. Instead, view the previous edits to find the correct value and manually edit the answer again.

  • You can only edit values of questions that match the version of the form schema that the submission was made from. It is not currently possible to add values to submissions that did not contain the field in that submission's form version.
