Understanding the Prompt Library

What is the Prompt Library?

The Prompt Library is a tool that allows you to utilize and manage frequently asked questions across your diligence activities.

You can access the Prompt Library anytime by selecting the Prompt Library button on the left side of the screen.

The Prompt Library contains two types of prompts:

Standard ToltIQ Prompts: Pre-written questions created by ToltIQ's PE experts, organized by various categories including Financial, Legal, Operations, Technology, Healthcare, and more.

Client Prompts: Your custom prompts, including any Standard ToltIQ Prompts you've added to your collection and any prompts you've created or uploaded yourself.

Where can I access the Prompt Library?

From anywhere in ToltIQ: Navigate to the Prompt Library button on the left side of the screen to access the full library.

Within a Chat: You can access the Prompt Library within Chats by clicking the Prompts button (icon) to the right of the message box.

Can I search for specific prompts?

Yes, you can search for prompts in the Prompt Library using the Search Bar located at the top left corner of the window. Simply type keywords related to the prompt you're looking for.

Can I sort prompts by category?

Yes, in the Prompt Library, you can filter prompts by:

  • Searching for keywords in the Search Bar at the top left

  • Using the filter options at the top of the prompt list to select specific categories


Using Standard ToltIQ Prompts

What are Standard ToltIQ Prompts?

Standard ToltIQ Prompts are pre-written questions created by ToltIQ's private equity experts. These prompts are designed for common due diligence scenarios and are organized by category to help you quickly find relevant questions.

How do I add Standard ToltIQ Prompts to my Client Prompts?

If you wish to populate your Client Prompts list with standard prompts from ToltIQ:

Step 1: Navigate to the Prompt Library

Step 2: Browse the Standard ToltIQ Prompts section

Step 3: Check the box next to each prompt you want to add to your Client Prompts

Step 4: Select "Add Selected"

Those questions will now be part of your Client Prompts and available for you to use in Chats and Bulk Queries.


Creating and Managing Client Prompts

How do I add my own questions to the Prompt Library?

To add individual prompts:

Step 1: Navigate to the Prompt Library

Step 2: Click the "Add Prompts" button at the top of the Prompt Library page

Step 3: Select "New Prompt" from the dropdown options

Step 4: Enter the question you want to have in the Prompt Library

Step 5: Assign it a Category (which will be used for sorting and filtering)

Step 6: Save your prompt

The new prompt will now appear in your Client Prompts list.

How do I upload multiple prompts at once?

ToltIQ allows you to upload prompts in batches by uploading a CSV file.

Step 1: Create your CSV file

Your CSV must include two required column headers:

  • Prompt: The question text

  • Category: The category for organizing the prompt

Example row:

  • Prompt: "How many employees did the company employ in 2022?"

  • Category: "Corporate"

Optional columns you can add:

  • A column for short prompt names to make them easy to identify

  • A column for default column names to use in Bulk Query exports

Step 2: Upload your CSV

  1. Navigate to the Prompt Library

  2. Click the "Add Prompts" button in the top left corner

  3. Select "Upload Prompt File" from the dropdown

  4. Choose your CSV file

  5. Upload

Your prompts will now appear in your Client Prompts list and can be used to create Prompt Playlists.

Can I edit prompts after adding them?

Yes, you can edit your Client Prompts. Access the prompt in your Client Prompts list and select the edit option (typically via a menu or edit icon).

Can I delete prompts from my Client Prompts?

Yes, you can delete prompts using the "Remove Selected" option:

Step 1: Check the boxes next to the prompts you want to delete

Step 2: Select "Remove Selected"

The selected prompts will be removed from your Client Prompts list.


Using Prompts in Chats

How do I use prompts from the Prompt Library in a Chat?

Step 1: Open a Chat and navigate to the message box

Step 2: Click the Prompts button (icon) to the right of the message box (above the Send button)

Step 3: Your Client Prompts will appear in a list

Step 4: Select one or more prompts from the list (you can also filter the list using the search function)

Step 5: Choose how to use the prompts:

If you select only one prompt:

  • Click "Populate" to send the prompt to the question box

  • You can then edit it before sending if needed

  • Click Send when ready

If you select multiple prompts:

  • Click "Send Multiple"

  • You'll be taken to a screen where you can sort the prompts in your desired order

  • Click "Confirm" to run all prompts in sequence

Can I use Prompt Playlists in Chats?

Yes! When you click the Prompts button in a Chat:

Step 1: Select "Pick From Saved Playlists"

Step 2: Choose from a list of Prompt Playlists that you or your team members have created

Step 3: The playlist prompts will be loaded and ready to send

This is a quick way to run a predefined set of questions without selecting them individually each time.


Creating and Managing Prompt Playlists

What is a Prompt Playlist?

A Prompt Playlist is an ordered collection of prompts that you can save and reuse. Instead of selecting individual prompts each time, you can create a playlist of commonly used questions and run them all at once in your preferred order.

How do I create a Prompt Playlist?

Step 1: Navigate to the Prompt Library

Step 2: Select "Playlist Manager" (at the top of the Prompt Library page)

Step 3: Click "Create Prompt Playlist" in the top right corner of your screen

Step 4: Enter a name for your Prompt Playlist (this helps you identify it later)

Step 5: Select the prompts you want to include by checking the boxes next to each prompt

Step 6: Click "Order Prompts" in the lower right corner

Step 7: On the ordering screen, drag and drop prompts to arrange them in your desired sequence

Step 8: When satisfied with the order, click "Save" in the upper right corner

Your Prompt Playlist is now ready to use in Chats and Bulk Queries.

Can I upload a CSV file to create a Prompt Playlist?

No, you cannot directly upload a CSV as a Prompt Playlist. However, you can:

Step 1: Upload your prompts to the Prompt Library using the CSV upload feature (see "How do I upload multiple prompts at once?")

Step 2: Once your prompts are in the Prompt Library, create a Prompt Playlist by selecting them in the Playlist Manager

This two-step process allows you to organize uploaded prompts into playlists.

How do I edit an existing Prompt Playlist?

Step 1: Navigate to the Prompt Library

Step 2: Select "Playlist Manager"

Step 3: Find the playlist you want to edit

Step 4: Select the edit option (typically via a menu or edit icon)

Step 5: Add or remove prompts, reorder them, or rename the playlist as needed

Step 6: Save your changes

Can I share Prompt Playlists with my team?

Yes, Prompt Playlists created by you or your team members are available to all team members with access to the Deal or firm workspace. When selecting "Pick From Saved Playlists" in a Chat, you'll see playlists created by anyone on your team.

How do I delete a Prompt Playlist?

In the Playlist Manager, locate the playlist you want to delete and select the delete option (typically via a menu or delete icon). Confirm the deletion when prompted.


Advanced Prompt Features

How do I leverage source tools when creating a prompt?

ToltIQ offers flexible source selection, also known as tool calling, which lets you control where the AI retrieves its information from when generating a response.

To specify a source, include one of the following @ commands in your prompt:

@web – Directs the AI to search the internet for current information and external sources. This temporarily disables access to any uploaded documents.

Example: "@web What are the latest M&A trends in renewable energy?"

@model – Restricts the AI to its built-in knowledge base only, excluding both web search results and uploaded documents.

Example: "@model What is the typical structure of a Series B funding round?"

@FRED – Pulls data from the Federal Reserve Economic Data (FRED) database.

Example: "@FRED What is the current federal funds rate?"

@EDGAR – Retrieves filings and financial data directly from the SEC's EDGAR database.

Example: "@EDGAR What were Apple's total revenues in their most recent 10-K?"

Where you can use @ commands:

  • When creating prompts in the Prompt Library

  • During any active Chat session

  • In Prompt Playlists (the @ command will be applied each time the prompt runs)

These commands give you precise control over the AI's information sources, allowing you to tailor responses to your specific research or deal needs.

Can I combine multiple @ commands in one prompt?

No, you can only use one @ command per prompt. The @ command determines the primary source for that specific question.

If you need information from multiple sources, create separate prompts with different @ commands and run them sequentially.

What happens if I don't include an @ command?

If you don't include an @ command, the AI will use the default source settings for your Chat, which typically means it will search your uploaded Deal documents.


Best Practices for Using the Prompt Library

Organizing Your Client Prompts

Use clear categories:

  • Create consistent category names that match your workflow

  • Use categories like "Financial Analysis," "Legal Review," "Operational Due Diligence"

  • Avoid overly specific categories that only apply to one or two prompts

Write clear prompt text:

  • Be specific about what information you're requesting

  • Include units when asking for numerical data ("revenue in millions")

  • Use language that matches your document terminology

Add descriptive names:

  • When uploading via CSV, include short names to make prompts easy to identify

  • This is especially helpful when you have many similar prompts

Creating Effective Prompt Playlists

Group related questions:

  • Create playlists for specific diligence workstreams

  • Example: "Financial Due Diligence Checklist" or "ESG Assessment Questions"

Order logically:

  • Put foundational questions first

  • Follow with detailed or specific questions

  • Consider how responses build on each other

Keep playlists manageable:

  • Avoid overly long playlists that take too long to process

  • Break large question sets into multiple focused playlists

  • Typically 10-20 prompts per playlist works well

Test before using:

  • Run your playlist on a sample document first

  • Verify that all prompts are working as expected

  • Adjust order or wording as needed

Leveraging @ Commands Effectively

Use @web for:

  • Current events or recent market data

  • Industry trends and benchmarking

  • Competitor information not in your documents

  • Regulatory updates or recent news

Use @model for:

  • General definitions and concepts

  • Standard frameworks and methodologies

  • Background information on common topics

  • Questions unrelated to your specific documents

Use @FRED for:

  • Economic indicators and statistics

  • Interest rate information

  • Government economic data

  • Historical economic trends

Use @EDGAR for:

  • Public company financial data

  • SEC filings and disclosures

  • Executive compensation information

  • Historical public company performance
