An overview of the Profit and Loss Summary Enquiry screen, explaining how revenues and expenses are displayed by major heading and how key financial metrics such as gross profit, net profit, and EBITDA are calculated.

The Profit and Loss Summary enquiry differs a little bit from the rest of the enquiry screens, but they do share the same basic functionality for using the Advanced Filter panel as well as opening the Action Panel.

This article aims to explain the Profit and Loss Summary enquiry screen in more detail.

The P&L Summary enquiry shows the company's revenues and expense during a particular period. It indicated how the revenues are transformed into the new income. The purpose is to show whether the company has made or lost money during a period.

The treatment of a nominal account within the P&L as a revenue or expense account is determined by the Major Heading assigned to each nominal account.

You can only see nominal accounts which are assigned to a P&L type major heading. These are major heading 1 to major heading 6.

The year and period fields default to the current working or open period and can be changed.

Field

Description

Place value or Units

  • Drop-down list for the value of a digit according to its position in a number such as:

    • Tens

    • Hundreds

    • Thousands

    • Millions
      Note: Only changes the view of the enquiry and does not pull through to the excel report.

Decimal place number

  • Drop-down list that changes the number of decimal places displayed dependent on your selection of a number from one to eight.

Saved Filters

  • A list of saved filters that are available.

  • Filters are saved using the advanced Filter pane, for more information please refer to how to use the advanced filter.

Cog

  • Contains a list of actions which can be carried out on the enquiry.

  • Configure Columns - Customise the displayed columns in the best order to suit your needs. For more information please refer to Configure Columns.

  • Clear Criteria - Clears all the filter criteria that you have added directly for a column displayed. Doesn't clear the filter you have added to the Advanced Filter panel.

  • Export to Excel - Full Summary - Exports all transactions for all your nominal categories in expanded mode.

  • Export to Excel - Current View - Exports all transactions displayed on the enquiry in collapsed mode.

The P&L Summary headings are as follows:

Headings

Description

Sales

  • Includes all nominal accounts where the major heading is one.

Cost of Sales

  • Includes all nominal accounts where the major heading is two.

Gross Profit

  • Calculated as Sales - Cost of Sales

Gross Margin

  • Calculated as (Gross Profit ÷ Sales) x 100

Other Income

  • Includes all nominal accounts where the major heading is three.

Gross Profit after Other Income

  • Calculated as Gross Profit + Other Income

Overheads

  • Includes all nominal accounts where the major heading is four.

Finance Charges

  • Includes all nominal accounts where the major heading is five.

Tax

  • Includes all nominal accounts where the major heading is six.

EBITDA

  • EBITDA stand for earnings before interest, tax, depreciation and amortisation.

    • The earnings are calculated by taking the sales revenue and deducting expense, such as the cost of goods sold, selling, general and administrative expenses, but excluding depreciation and amortisation.

Net Profit

Calculated as Gross Profit after other income - (Overheads + Finance Charges + Tax)

Net Margin %

Calculated as (Net Profit ÷ Sales) x 100
