User Settings is the per-user configuration module where individual users manage their personal profile within a Docupath tenant.
It provides control over display name and email address - the two identity fields that appear across approvals, activity logs, reviewer panels, and notifications. Keeping this information current strengthens audit integrity, ensures correct alert delivery, and maintains clear accountability for document-level actions.
How It Works
Profile Management
Each user can update their own profile via Settings → User Settings. The module provides two editable fields:
Field | Description |
Name | Used for user interface display, recording in Usage Insights and other logging features |
Email Address | Used for login invitations and user authentication |
How to Update
Navigate to Settings → User Settings
Update the Name or Email
Click Change next to Name or Email
Enter the new value and confirm
Refresh the browser if the update does not display immediately
Where Changes Appear
Name updates are reflected in:
UI components (Main Menu)
Approval records (showing who approved or rejected a document)
Activity Logs (all actions attributed to the user)
Reviewer panels (document assignment and review history)
Email is used for:
Login invitations
Role-based alerts and system notifications
Supported Configurations and Options
Configuration | Detail |
Self-service | Each user can update their own profile |
Notification scope | Email used for invitations, rejections, and alerts |
Other Technical Specifications
Parameter | Detail |
SSO consideration | If the tenant uses Single Sign-On (Google/Microsoft), coordinate email changes with IT to avoid login disruptions |
Access | Each user manages their own profile; no admin override for profile edits |
Update propagation | Changes take effect immediately but may require browser refresh for display |
Notes
Email changes are not validated against SSO provider records - changing email without coordinating with IT can cause SSO login failures
There is no admin-accessible interface to bulk-update user profiles; each user must update their own settings
Shared inbox email addresses are discouraged for individual user accounts as they undermine audit traceability
Name changes are not retroactively applied to historical Activity Log entries - past actions retain the name that was active at the time
