Usage Insights

Tracks document throughput, accuracy, reviewer productivity, and rejection patterns across your tenant. Includes metric views, filters, and how to use it for audit reporting and performance reviews.

Usage insights is Docupath's operational dashboard for monitoring document processing performance across the entire tenant. It provides real-time visibility into document volumes, processing accuracy, approval and rejection rates, and reviewer throughput — enabling teams to identify bottlenecks, measure operational health, fine-tune business rules, and support audit and compliance reporting.

The module offers both aggregated trend views and document-level list views, with filters for date range and organisation, plus an Upload Date / Activity Date basis within the aggregated view.


How It Works

Dashboard Overview

The Usage insights dashboard is the operational control centre for document processing. A row of summary cards at the top gives an at-a-glance read for the selected period and scope:

Three controls at the top of the dashboard shape every view:

Below the summary cards, a toggle switches between Aggregated View (charts and date-level tables) and List View (one row per document).

Upload Date vs. Activity Date

Within the Aggregated view, the Detailed document stats section has a Filter by dropdown (next to the section header, below the chart) that controls how each date's row is counted:

  • Upload Date — shows documents that were uploaded on each date and their current status. Pick a date and you see everything uploaded that day, along with whether those documents are now approved, rejected, or still pending.

  • Activity Date — shows every action (upload, approval, rejection, etc.) that happened on each date. Pick a date and you see all activity that occurred that day, even for a document that was uploaded earlier but approved on that date.

Activity Date is the better choice for analysing operational trends and reviewer productivity, since it reflects when work actually happened rather than only when files arrived.

Aggregated View

The aggregated view presents:

  • Document stats over time — a daily bar chart comparing Uploaded (grey) against Processed (green) volume.

  • Detailed document stats — a table broken down by date, with columns for Date, Transactions, Uploaded, Processed, Pending, Approved, Rejected, and Reprocessed.

  • The Filter by (Upload Date / Activity Date) dropdown described above.

Use this view to spot operational trends, compare performance across days or weeks, and identify peak workload periods.

List View

The list view presents one row per document, oriented around the validation and approval audit trail. Columns include:

  • Document, Document No., and Upload time

  • Validated by, Validated start, Validated end, Validated duration, Validated edits

  • Reviewed by

  • Approval start, Approval end, Approval duration, Approval edits

A search box filters the list, and a Download button exports the data for external sharing.

Use this view to investigate specific documents, follow up on pending items, measure reviewer and approver throughput, and share data with compliance, vendor management, or finance teams.

Known Limitations and Edge Cases

  • Usage insights is a monitoring and reporting module — it does not allow direct action on documents (use the Review Screen for document actions).

  • Accuracy is calculated from human corrections against AI output, so it stays N/A until documents have been reviewed, and may fluctuate based on document complexity, volume, and reviewer consistency.

  • The organisation filter shows data only for organisations the user has access to, respecting self-service and role-based visibility rules.

  • Very broad date ranges may return large datasets — start with narrower ranges for faster analysis.

  • Activity Date metrics depend on when users take actions; delayed reviews will shift metrics to later dates relative to upload.
