Uploading Documents

An introduction to uploading your business documents to Docupath for processing

Docupath supports three ingestion paths. Each upload creates a primary document and enters the review lifecycle automatically. This article explains all three methods and the file types and limits that apply.

Four ways to upload documents

Upload Document

Drop files into the Upload area or click to browse. Select the sub-organization, queue multiple files at once. Each file becomes its own primary document.

Email Ingestion

Send attachments to your organization's unique Docupath email address. Each attachment is processed as a separate document automatically.

API Upload

Generate API keys under Destination Format & APIs. Include the Sub-Organization ID in every upload request to route documents correctly.

Mobile Upload

Capture and submit documents on the go using the Pathfinder mobile app, which lets you photograph physical documents from your iOS or Android device and upload them directly into your Docupath tenant for processing.

Uploading Your First Document

The Upload Screen is your launchpad for document processing. Navigate there from the top navigation or click Upload More on the Review screen.

  1. Click Drag & drop your files or Browse to open the file picker, or drag your files directly into the upload area.

  2. Select your documents. Each file will be queued as its own primary document.

  3. Select the sub-organization the documents belong to. All documents in a single queue are assigned to the same selected sub-organization. By default, Docupath will select the sub-organization selected previously.

  4. Once files are queued, you will see a list of all selected documents. Click Upload More to add additional files to the queue before submitting.

  5. Optionally, mark any document as Urgent to prioritise it for downstream processing. This flags the document for expedited review and is visible to reviewers and downstream systems.

  • Limit: Up to 100 documents can be processed in a single batch.

Use Urgent flagging for time-sensitive documents such as invoices with short payment deadlines. Downstream systems can use the Urgent flag to trigger priority workflows automatically.

Email ingestion in detail

When you create a parent organization, Docupath automatically generates a unique organization email address. You can also upload directly to a sub-organization email address (if available) to route documents straight into that sub-organization.

  • Send files as attachments to the relevant address.

  • Each organization and sub-organization has two email addresses - “Single Primary Document with Optional Attachments” and “Multiple Primary Documents”. Make sure your documents are sent to the relevant email address.

  • Limit: Up to 10 attachments per email are accepted and processed.

  • Email subject and body are optional and not required for processing.

API upload in detail

To upload programmatically from your systems:

  1. Generate API credentials Go to Settings → Destination Format & APIs and click Generate API Credentials. Copy the Client ID and Client Secret (shown only once) and store them securely.

  2. Include the Sub-Organization ID Every API upload request must include the Sub-Organization ID so Docupath can assign the document to the correct organization.

  3. Monitor processing status Use your API keys to securely upload documents and retrieve processing status from your systems.

Mobile upload in detail

The Pathfinder mobile app lets you capture and upload documents directly from your iOS or Android device. Once connected to your Docupath tenant, you can photograph physical documents on the go and submit them for processing without needing access to the full platform.

  1. Install and connect the app Download Pathfinder by Docupath from the App Store or Google Play. Enter the 4-digit tenant code provided by your administrator, along with your organization email and a display name. Your device is registered on first connection.

  2. Capture your document Tap the camera icon on the dashboard. Use the preview and flash toggle to frame your document clearly, then confirm the capture. Good lighting improves extraction accuracy.

  3. Review and upload from My Documents Captured images appear in My Documents. Select one or more files and tap Upload. Each document is submitted individually with per-file progress shown. Successful uploads are removed automatically; failed uploads stay in the queue for retry.

  • Limit: Each upload is processed as a single primary document.

Upload over a stable Wi-Fi connection when submitting batches. If an upload fails, the file is retained in My Documents so you can retry without re-capturing.

You can upload mixed formats (PDFs and images together) and mixed document types (invoices and purchase orders together) in a single batch - no need to separate by category.
