To view the full guide within the spreadsheet before getting started click here (it´s on page 1 and 2 of the spreadsheet all the information you need to know! (please be aware you will be un able to copy this! It´s just for easy reference

To bulk upload, please click on the "upload activities" button on the activities page.

You will see a screen like this click green "import file"button in the right hand side.

Click "New activities upload" And follow the steps

The bulk upload process consists of 2 main parts

1) Upload a completed activities file (to add the volunteering opportunities),

followed by

2) upload a completed places file (to add dates, times and locations to the file you just added with the other file)

The templates are in one file with example content available at the bottom of the page for you to download. Please make sure to download and upload it as a TSV file Tap Separated Values (tsv.)

Full Step by Step Process

Step 1. Go to the activities tab and click "upload activities" in the top right hand corner.

Step 2. Click "Import file" and choose activities

Step 3. Click "download template" to show you what you need to fill in to upload and add to your excel or google sheets. When uploading please download your file and upload it as a TSV - Tap Separated Values (tsv.) You can access then when in your file click download and export as TSV.

Step 4: Download the template and start adding your information of your activity,

you can see example content in the fields of the spreadsheet added below.

Step 5: Fill in the information (more guidance below)

Step 6: Save the file and upload as a TSV file. You can create a TSV from google sheets.

Please note, excel does not let you download TSV files, so you will need to create a google account and copy and paste your file from your excel spreadsheet.

Save as a TSV file on google like this: File _ Download as_ Tab Separated Values

Step 7. You can then click refresh and see the results, next click upload places in top right. You can click finish and your upload will be working in the background.

Step 8: Upload places spreadsheet: Click upload places in top right, and choose the imported file that matches your activities.

Download the template. (or see it at the bottom of this page)

Step 9_ Then download template and fill it in.

The following fields are required and all the guides are available on which fields to use in the template spreadsheet

Activity ID identifier: Needs to match the upload in the first file.

Address. The address needs to be a full address as in a First line, second line (optional), Town or city, and postcode, for example

We use google maps, so please use the same way that google maps lists your address. That may include the name of your organisation or if in a unit or office, please add this in.

Start date: Required for ongoing and event roles

End date: Required for ongoing and event roles

Due date: Required for ongoing and event roles

Volunteers: Amount of volunteers required, please add a number of volunteers you require (if you put a limit, this will limit the amount of applications

Meeting link: Please use Zoom or google hangouts link or Microsoft teams if you are hosting an online event.

External URL: The URL you are using to make the application on your side

and then drag and drop or click upload and click start upload

Step 10. Click refresh to see it uploading and show you a table in the list view.

Step 11. Click finish in the top right. when they are all showing correctly. If any do not pull through it might be because they are still waiting to upload or there might be an error with the columns. You will see an error column if so.

You can click finish and they will continue to upload in the background.

Step 12.Then go to activities, click on the opportunity that you have uploaded and you can see it by clicking the share button in the top right! (if you have more than 10 opportunities please click next page.

How do I edit an activity that was uploaded as part of the bulk upload?

You can simply edit it in your list view, go to view an activity and click edit on the activity. It will update accordingyl.

The most common trouble shooting errors

  1. If you get invalid start date, end date or due date, enter the date in manually.

    Use this and edit it in the field vs using the date selector
