Confirm Gift Aid Declarations

Learn how to prepare confirmations for Gift Aid Declarations.

If a constituent makes a verbal Gift Aid declaration (GAD) - e.g. when making a donation by phone - you need to provide them with a written confirmation of their declaration.


Confirm a Gift Aid Declaration

  1. Navigate to Financial, click Gift Aid.

  2. Select the Unconfirmed Declarations tab.

  3. Review the list of constituents whose declarations need confirmation.

  4. If you need to remove a constituent before confirming, see Change Confirmation Status below.

  5. When you are satisfied with the list, click Prepare Gift Aid Declaration Confirmation Details.

System will then:

  • Create a CSV file for download, which you can use for mail merge.

  • Mark each Gift Aid Declaration as Confirmed.

  • Add a timeline entry to each constituent showing that the confirmation was sent.


Change Confirmation Status

Update Confirmation Date

For already provided written confirmation to someone on the list of unconfirmed declarations:

  1. Open the constituent record.

  2. Find the gift aid declaration on the timeline.

  3. Fill in the date you provided the confirmation in the Confirmed on date.

No Confirmation required

If a constituent does not need a written confirmation - e.g. the wrong declaration method was used:

  1. Open the constituent record.

  2. Find the gift aid declaration on the timeline.

  3. Set the confirmation required switch to No.


Resend a Confirmation

  1. Open the record of the constituent

  2. Find the gift aid declaration on the timeline.

  3. Clear the Confirmed on date.

The constituent will then appear on the list of unconfirmed declarations.
