If a donation contains data errors, it receives a reclaim status of Error and is excluded from the Gift Aid claim. You can review the error details, correct the data, and allow the donation to be included in the next submission cycle.
View Error Details
Navigate to Financial, Gift Aid and open the Active Claim or Ready to Claim tab.
Click the Column Selector button.
Enable the Error Details column.
Review the error message for each donation that cannot be claimed.
How Errors Are Refreshed
After correcting an error:
Errors are updated during the overnight refresh of the Active Claim, or
You can refresh the claim manually to update the status immediately.
How Errors Affect Claim Submission
Donations with errors cannot be submitted to HMRC.
If a claim is submitted while errors still exist in Ready to Claim, those donations are moved back to Active Claim.
Corrected items will then be included in the next available submission.

If errored donations do not reappear in the Active Claim, your claim may still be showing Submitted instead of Claimed.
Select Retrieve Status Updates from HMRC to update the status.
Once the claim shows Claimed, errored donations will return to Active Claim.
Common Error Messages and How to Fix Them
Below are the most frequently encountered error messages and their required corrections.
Address Line 1 too long
Address Line 1 must be 40 characters or fewer.
House/building name and street name are combined in the HMRC submission.
Move excess text to Address Line 2.
Postcode invalid
The postcode must be a valid UK postcode.
Ensure correct spacing (e.g., N1C 4AG, not N1C4AG).
Address Line 1 missing
Address Line 1 is blank on the constituent profile.
Add the missing detail to the constituentâs address.
Tax Payer Title and Name detail too long or missing
These details must be corrected in the Gift Aid Declaration (on the constituentâs Timeline), not on the constituent profile.
Check the Tax Payer section of the declaration for missing fields.
Title too long
Titles may contain up to 4 letters, with no punctuation.
Example: Mrs is valid; Mrs. is not.
Remove any trailing spaces.
This refers to the title on the Gift Aid Declaration, not on the constituent record.
Forename or Surname too long
Forenames and surnames may contain up to 35 characters.
Shorten the name if needed.
Missing Last Name
The Last Name is missing in the Gift Aid Declaration.
Add the surname to the declarationâs Tax Payer section.
