How Transactions Enter the Active Gift Aid Claim
Every night, Donorfy rebuilds your Active Claim. Only transactions that meet all eligibility requirements are added automatically. Transactions that are ineligible or missing required information appear with an error for review.
Transaction Eligibility Requirements
A transaction must meet all of the following conditions to be included in the Active Claim:
The constituent has an active Gift Aid Declaration on their timeline.
The transaction’s Potentially Gift Aid-able setting is Yes.
The Date Paid is within four years of the end of the tax year in which it was received.
The Product is configured to allow Gift Aid (Settings, Configuration, Products).
The Payment Method allows Gift Aid (Settings, Configuration, Payment Methods).
The transaction has not been previously claimed.
The transaction was not imported as already claimed.
The transaction has not been blocked from a previous claim.
📌 Note: Imported transactions marked as “already claimed” will never enter a Donorfy claim.
Required Constituent Details
If any of the following details are missing or invalid, the transaction appears in the Active Claim with an error and must be corrected:
Donor must have a first line of address.
Donor must have a valid postal address.
Donor title must be less than 4 characters (e.g., “Mr”, “Ms”, “Dr”).
Donor must have a first and last name, or an initial and last name.
⚠️Important:
Transactions with constituent detail errors will not be included in a submitted claim until corrected.
Review Eligible Transactions
Go to Financial, click Gift Aid.
Click the Active Claim tab to view all transactions currently included.
Check the list for any errors and correct issues as needed.
The Active Claim updates every night, adding newly eligible transactions and re-evaluating previously errored ones after corrections.
