Send Emails from Donorfy

Learn how to set up Donorfy to send documents and emails through your own email server.

Recommended Email Setup

  1. Use a dedicated email address for Donorfy (for example, email@mycharity.org.uk) rather than a personal work address.

  2. Share the mailbox with relevant staff so they can access sent items and replies.

  3. Avoid relying on overridden “From” addresses, most modern email systems no longer permit this, which can cause send errors.

📌 Note: You will need a valid email address and password to configure Donorfy’s email settings.


Understand Email Provider Compatibility

Donorfy already includes built-in knowledge for the following providers:

  • Office 365.

  • Gmail.

  • Exchange Server.

If you select one of these, Donorfy automatically populates the necessary technical fields.

For all other email servers, you must obtain the hostname and port number from your IT team or email service administrator.


Considerations for On-Premises Email Systems

Traditional on-premises or shared email environments can be difficult to configure for third-party sending because they are often locked down.
Common issues include:

  • Requirements for fixed IP addresses.

  • Restrictions preventing cloud services from connecting.

  • Inability to authenticate senders outside the organisation’s network.

📌 Note:

  • Donorfy runs on Azure’s Platform-as-a-Service in Northern Europe. Azure publishes broad ranges of public IP addresses, and Donorfy has no control over which IPs are used for outbound email.

  • If you cannot enable Donorfy to send through your local server, consider using a cloud email provider such as Office 365 and configure that account to forward emails to your internal system if required.


Configure Email Settings in Donorfy

  1. Navigate to Settings, click Configuration, select Email Server Settings.

  2. Select the type of email service you use:

  3. Enter the requested details for your chosen provider.

  4. Save your changes to enable Donorfy to send emails and attached documents.

📌 Note: Ensure the email account credentials are correct and that any necessary permissions for external sending are enabled within your email environment.
