Learn tips and tricks for managing enrollment in one to many pre-scheduled sessions with limited enrollment capacity with Sign-up Sheet.

Updated over a week ago

Doodle’s Sign-up Sheet is the easiest way to manage enrollment in one to many pre-scheduled sessions with limited enrollment capacity. But if you dig deeper, you can find a wealth of features that will make your next event better than ever.

Switch to Dashboard Beta

Getting the most out of Sign-up Sheet begins with using Doodle’s Dashboard Beta. When you switch to the Dashboard Beta, you can create and manage your sign-up sheets directly from the dashboard. Additionally, you can take advantage of the Dashboard Beta’s powerful event filtering and sleek interface.

To switch to the Dashboard Beta:

  1. Click ‘Switch to Dashboard Beta’ at the top of the screen

  2. Confirm the switch from the popup window

When you use Doodle’s Dashboard Beta, you can manage your sign-up sheets directly from the dashboard. Preview the participant experience, edit your sign-up sheet, and more in just a few clicks. Additional event management features are scheduled for the Dashboard Beta throughout 2024, so make the switch to see what’s new!

General description v. Session descriptions

With Sign-up Sheet, you have two levels of description you can use. The general description is used to describe the whole event, and session descriptions define an individual session. When you connect your calendar, a session description will supersede the general description in the calendar invite. If you leave the session description blank, then the general description will be applied to the calendar invite.

Sending notifications to participants

Any time you make an edit to your sign-up sheet and click ‘Save’, you will be asked if you want to send a notification to the participants. A change in session time or session location may warrant a notification, whereas a spelling correction or change to a session without registration may not. Either way, you are in charge of how many - or how few - email notifications your audience receives.

Using your calendar connection

When you enable a connected calendar with your sign-up sheet, you will enjoy the following benefits:

  • All participants will receive a calendar invite for each registered session

  • Unique video conferencing can be applied to each calendar invite

  • Scheduled sessions will be applied to your connected calendar

To enable your calendar connection on your sign-up sheet:

  1. Create a sign up sheet

  2. Click to expand the ‘Connected Calendar’ dropdown menu

  3. Select your calendar connection preference

Video conferencing for all sessions

When you enable a calendar connection with your sign-up sheet, you can also take advantage of Doodle’s video conferencing integrations. Automatically add a unique video conferencing link to the calendar invite of each session in just three clicks.

To add a video conferencing link to your sign-up sheet sessions:

  1. Select your connected calendar from your sign-up sheet

  2. Click the ‘Video conferencing’ dropdown menu

  3. Select your preferred video conferencing app

Protect confidentiality with hidden participation

Doodle takes privacy seriously for all its users - from each event organizer to every event participant. With sign-up sheet, every session participant is hidden, meaning that only the organizer can see who has enrolled in a session. Hidden enrollment data is automatic, so you do not need to do anything to ensure the privacy of your participants.

Preview your sign-up sheet

Have you ever wondered what your sign-up sheet will look like for your participants? Now you can see what the participant experience looks like with Doodle’s Preview feature.

To preview your sign up sheet before you send it, click ‘Preview’ from the sign-up sheet summary screen. A new screen will load to reveal the participant experience. Use this to review your sign-up sheet for accuracy and to better advise your participants should they ask you questions about the sign up sheet. Once you are satisfied with the preview, close it and send the sign-up sheet link to your poll participants.
