Templates come in handy when you notice you’re sending the same type of message repeatedly or want to ensure your messaging stays consistent across your team.

Instead of rewriting reminders, confirmations, or updates each time, you can create a reusable template that saves time and maintains a professional tone. Templates help you do the following.

  • Reduce redundancy – No need to retype common emails or texts such as reservation confirmations, move-in instructions, or payment reminders.

  • Maintain consistency – Every team member can send messages that align with your company’s voice and standards.

Improve efficiency – Pre-written templates allow you to communicate quickly, even when you’re managing a high.

Customizing Templates

Templates aren’t one-size-fits-all. You can customize each one by adding placeholders that automatically pull in details from your CRM or reservations. This makes every message feel personalized while still saving you time.

When you send the message, DoorSpot replaces placeholders with the actual details, ensuring accuracy and a personal touch without extra typing.

Add Attachments to Templates

If you already have a favorite template or want to include supporting materials like images or PDF documents, you can attach files directly to your DoorSpot templates.

To add an attachment, scroll to the Attachments section below the template message box. Use the menu to either click and drag files into the upload area, or search and upload documents directly from your local drive. Once uploaded, your file will be saved with the template and automatically included whenever the template is used.

This makes it easy to standardize communication and ensure important documents (like lockbox images or welcome guides) are always sent along with your messages.

Best Practices

  • Create templates for your most common communications (welcome letters, invoices, reminders, move-out instructions).

  • Test your placeholders before sending to ensure you are familiar with how DoorSpot pulls information into the messages.

  • Review templates before clicking “Send” and adjust details on the fly to personalize the message for unique circumstances.
