Stock management - Additions

💡 You can use Additions to add products to your stock that were not purchased through a purchase or sales order.

⇢ Go to Inventory Management – Additions and click the green plus icon.

General data

  • Stock location: the location where the products will be stored.

⚠️ It is very important to make the correct choice here!

  • Excise goods for which excise duties will be paid upon dispatch should be stored in the Excise Warehouse / AGP (a stock location under excise suspension).

  • Excise goods for which excise duties have already been paid should be stored in the Warehouse.

  • Raw materials, simple products, and other non-excise goods can be added to either the Warehouse or the Excise Warehouse.

  • Stock entry date: the date on which the stock is added.

  • Comment: you can optionally provide a reason for the stock addition.

Excise data

💡 This section must be completed if the stock addition is under excise suspension and/or accompanied by an eAD document.

💡 Since legislation differs between Belgium and the Netherlands, the excise information is split into Excise BE and Excise NL.

Excise BE

  • Excise transaction type: the type of stock entry. There are four options:

    • eAD: the addition is accompanied by an eAD document.

    • VGD: the addition is accompanied by a Simplified Accompanying Document.

    • Stock count: the addition is due to a stock count.

    • Production: the addition is the result of your own production process.

💡 For an initial stock setup, choose Stock count. Use this option when you are starting with Douano and/or entering the initial stock of a product. For ARC, enter "Initial stock" (not an ARC number).

  • ARC: the ARC number as stated on the eAD document, if available.

Excise NL

  • Transaction type: the type of stock entry. There are four options:

    • Stock entry: to book additional stock.

    • Initial stock: the first stock entry for a specific product.

    • Conversion from production: the addition results from your own production process.

    • Surplus: the addition is the result of a stock count.

  • ARC: the ARC number as stated on the eAD document, if available.

Stock Items

  • Product: the product that needs to be stored.

💡 Use the split icon at the beginning of each row to split a product line. This is useful when multiple batch or lot numbers of the same product have been received.

  • Quantity: the quantity to be added, expressed in the product’s unit (pieces, liters, kilograms, etc.).

  • Expiration date: the expiration date of the goods.

  • Lot/batch number: the lot or batch number of the goods.

💡 You can always enter a lot/batch number and expiration date, but it is only mandatory for products where this has been marked as required.

  • Sublocation: the sublocation within the chosen stock location where the goods will be stored. This is an optional field.
