DPD Ireland – Annual Leave Policy
DPD recognises that employees need time off from work for rest and relaxation and to reconcile any other commitments. However, the taking of annual leave should be planned in advance, in order to allow the organisation sufficient time to arrange cover for the absence of employees. Thus, before making a holiday commitment, employees must consult with their manager/supervisor regarding taking time off.
All employees working under a contract of employment are entitled to annual leave.
Annual Leave Entitlement
Annual leave entitlements will be calculated in accordance with the Organisation of Working Time Act 1997.
Where an employee works at least 1,365 hours in a leave year, he or she is entitled to four working weeks of annual leave.
If the number of hours worked is less than 1,365, annual leave will be calculated as follows:
One-third of a working week per calendar month in which an employee works at least 117 hours; or
8% of the hours worked in the leave year, subject to a maximum of four working weeks.
The term “working week” means the number of days or hours an employee normally works in a given week. The Company leave year runs from 1st January to 31st December each year.
Additional Annual Leave Entitlement
After 2 years service your annual leave entitlement will rise as follows to a maximum of 25 days per year calculated by reference to time worked on a pro rata basis.
In
Year 3 your annual leave entitlement increases to 21 days
Year 4 your annual leave entitlement increases to 23 days
Year 5 your annual leave entitlement increases to 25 days
Annual Leave Requests
All holidays must be requested via People HR and will be taken on a first-come-first-served basis. Three weeks notice of your intention to take holidays should always be given. The Company will make every effort to facilitate individual holiday requirements but in all cases the needs of the business will need to be considered.
Holidays must be taken on a staggered basis and are always subject to the prior approval of Management. No more than two calendar weeks may be taken in any one period, except in exceptional circumstances, which may be approved by the appropriate manager/supervisor.
Pay for Annual Leave
Pay for annual leave is the rate payable for normal weekly hours including any regular bonus or allowance which does not vary, but excluding pay for overtime.
Leaving the Organisation
If an employee leaves the organisation and has accrued annual leave that has not been taken, the organisation will pay the employee for this accrued leave. If an employee leaves the organisation and has taken more annual leave than he or she has accrued, the organisation will claim back the amount owing to it from the final wages payment.
Outstanding Leave
Annual leave must be taken in the leave year, any carryover annual leave must be taken within six months of the start of the following leave year. The organisation reserves the right to assign to you any outstanding annual leave, subject to one month’s notice.
Assigning Annual Leave
A certain number of days annual leave must be taken at company-designated closing periods.
Currently, three days of the total entitlement must be taken when the company closes between Christmas and New Year and one day must be taken on Good Friday. This arrangement may be changed by the Company should the needs of the business dictate. This information will be provided to all employees as early as possible, but not later than one month before the proposed closure.
