This guide provides an overview of the DQ File Archive, explaining how Driver Qualification (DQ) file documents are archived when a driver leaves a carrier and how to access those archived records. The DQ File Archive feature ensures that all DQ file documents remain available for compliance and reference purposes.

In accordance with FMCSA 49 CFR 391, Driver Qualification File contents are archived for 36 months. When a driver is no longer associated with a carrier, the system automatically creates a folder containing all DQ file documents uploaded during their time with that carrier. This folder is then moved to the DQ File Archive list with an archived status, ensuring the records are securely stored and accessible when needed.

Step 1 - Navigate to the DQ File Archive Tab

  • Login to your Carrier account and navigate to the DQ File Archive tab from the main menu. This section displays a list of documents uploaded by drivers.

Step 2 - View the List of Archived DQ Files

  • This tab displays records of drivers who were previously associated with a carrier.

  • Each entry contains the driver's name with an Archived status and their expiration date the date after which the folder will be removed from the system which is after 36 months.

Step 3 - Download the Driver’s DQ File Folder

  • Locate the driver whose archived DQ files you need to access.

  • Click on the Download icon next to the driver’s name.

  • The system will download a ZIP file containing all the DQ file documents that were uploaded during the driver’s association with that carrier.

Step 4 - Access the Downloaded Folder

  • Once the file is downloaded, you can find it in your system where your browser saves downloaded files

  • Extract the ZIP file to view all the driver’s archived DQ documents.

Yes, the archived folder includes all versions of the DQ documents that were uploaded during the driver’s association with that carrier.
