This guide provides an overview of the Carrier File Archive, explaining how Carrier file documents are archived when a driver leaves a carrier and how to access those archived records. The Carrier File Archive feature ensures that all Carrier file documents remain available for compliance and reference purposes.

When a driver is no longer associated with a carrier, the system automatically creates a folder containing all Carrier file documents uploaded during their time with that carrier. This folder is then moved to the Carrier File Archive list with an archived status, ensuring the records are securely stored and accessible when needed.

Step 1 - Navigate to the Carrier File Archive Tab

Login to your Carrier account and navigate to the Carrier File Archive tab from the main menu. This section displays a list of documents uploaded by drivers.

Step 2 - View the List of Archived Carrier Files

This tab displays records of drivers who were previously associated with a carrier.

Each entry contains the driver's name with an Archived status and their expiration date, the date after which the folder will be removed from the system, which is after 36 months.

Step 3 - Download the Driver’s Carrier File Folder

Locate the driver whose archived Carrier files you need to access.

Click on the Download icon next to the driver’s name.

The system will download a ZIP file containing all the Carrier file documents that were uploaded during the driver’s association with that carrier.

Step 4 - Access the Downloaded Folder

Once the file is downloaded, you can find it in your system where your browser saves downloaded files.

Extract the ZIP file to view all the driver’s archived Carrier documents.

1. How long are archived Carrier files stored?

Archived Carrier files are stored for 36 months as per FMCSA 49 CFR 391 regulations. After this period, they may no longer be accessible.

2. Can I search for a specific driver in the archive?

Yes, you can use the search bar to look up a driver by name or apply filters to narrow results by driver type (CDL or Non-CDL) in the Carrier File Archive tab. This helps you quickly locate a specific driver’s archived Carrier files.

3. Will an archived Carrier file include all document versions?

Yes, the archived folder includes all versions of the DQ documents that were uploaded during the driver’s association with that carrier.
