How to verify a document in a Driver's Carrier File as a Carrier

This guide will walk you through the process of how to verify a document and mark it as compliant in a Driver's Carrier File as a Carrier admin.

Step 1 – Navigate to the Carrier File Verifications Tab

Go to the Carrier File Verifications tab from the main menu. This section displays a list of documents uploaded by drivers.

Step 2 – Select a Document for Verification

Click on the Pending document name that you want to verify. This will open the verification panel, where you can mark the document as either Compliant or Non-Compliant.

Step 3 – Mark the File as Compliant

If the document is valid and meets all necessary requirements:

  • Select the Compliant option under the File Verification section.

  • Enter the Execution Date (the date on which the document is verified).

  • If you want to notify the driver about the verification update, check the "Send update to the driver" option.

  • Click Submit to complete the verification.

Once submitted, the document status will be updated to Compliant, indicating that it has been successfully verified.

Step 4 – Mark the File as Non-Compliant

If the document does not meet the necessary requirements:

  1. Select the Non-Compliant option.

  2. If needed, provide additional details in the Notes Description Box, explaining why the document is not valid.

  3. Click Submit to finalize the verification.

  4. Once submitted, the document status will change to Non-Compliant, indicating that the file is invalid.

Step 5 – Review the File Status

Once the verification is completed, go back to the Carrier File Verifications tab where the list of documents will appear. You can view the status of the document you verified under the Review column.

1. How do I know which files need verification?

Documents with a Pending status in the Carrier File Verifications tab require verification.

2. Can I edit a document’s verification status after submitting it?

No, once a document’s verification status has been updated to Compliant or Non-Compliant, it cannot be changed. If a mistake is made, upload a new document for verification.

3. Will the driver be notified when their document is verified?

Yes, if you check the "Send update to the driver" option before submitting, the driver will receive a notification about their document’s verification status.
