Configuring custom properties in dScribe

Updated over 6 months ago

Custom properties can be used to introduce concepts specific to your organization into dScribe. They are used to further enrich the documentation of assets, facilitate filtering and support granular access policies.

These properties can be managed via the Admin Portal > Properties.ย
โ€‹

On the Properties page, you can:

  1. Create new properties.

  2. Edit or delete. Individual properties can be deleted directly from the properties table list. After selecting a property for deletion, a pop-up will appear showing the current assets linked to this property.

  3. Manage configuration settings to control which assets have a property enabled.

  4. View the number of assets using a specific property.

  • Tip

We recommend adding a description to each property. This description will be displayed whenever a user views the property, accessible via the info icon next to the property name, providing additional details and context.

Property Types

Each property is of a specific type, defining its behaviour and available options.

Properties of type Dropdown

Includes the following property types:

  • Dropdown list - single select A list of values from which one value can be selected per asset.

  • Dropdown list - multiple select A list of values from which multiple values can be selected per asset.

  • Dropdown hierarchical - multiple select A hierarchical list of values from which multiple values can be selected per asset. Only leaf nodes (= the values without child values) can be selected from the list.

  • Collaborator Link a (or multiple) dScribe user(s) or team(s) to an asset.

Properties of any of these types can be used to document assets, filter search results, define the context of Contribution Access Policies.

Properties of type Text

  • Rich Text Editor Allows to enter any text into the documentation. This type also allows to add 'mentions' and 'hyperlinks' Please be aware that searching through these text fields needs to be performed in the advanced search.

  • Date picker A single date picker

Security-enabled Properties

If you would like to use a custom property as context for your authorization model, you can set that property as security enabled:

Doing so will make that property available when defining Contribution Policies:

In the example above, users receive Create+Edit+Delete permissions on all asset types where Domain = 'Finance' and Validation status = "Not validated".

Note that only properties of type dropdown can be security-enabled.

Rearranging custom properties per Asset Type

Each custom property can be linked to any of the asset types in dScribe. Once they have been linked to an asset type, they can be rearranged in that asset type's layout. See Asset Types & Layout.
