Create Reception Entry Note

Note: where to create the GRN

GRNs are created only from the Ebriza administration account (web browser) — Costs menu. The functionality is not available in the Ebriza POS app on tablet (Android/iPad).

To create a GRN, open the administration account on a device with a browser (laptop, PC, or browser on tablet) and follow the steps below.

To create a Receipt Entry Note and generate the NIR document, you need to have the supplier invoice entered in the Costs menu. If you haven't added the invoice, see the steps to add it here.

Step 0 — The invoice must already exist in Costs

A GRN is not created from scratch: it is generated from a supplier invoice, so you need an invoice in the Costs menu before you can start. There are two ways to add it there:

  • downloaded from S.P.V.: in the Costs menu, click “Download invoices from S.P.V.” (or automatically, if you have autopilot enabled). Ebriza must be authorized in S.P.V.;

  • added manually: add the invoice to Costs with the supplier, invoice number, date, and the lines from the received invoice.

We will use the following invoice example:

You need the supplier invoice already added in the Costs menu. Without it, you cannot generate a NIR

  1. Open the invoice and click the NIR button.

  2. For each line you want to add to inventory, complete the Goods Receipt column. This is the step that links the invoice line to the goods and adds the quantity to stock.

  3. Only if the goods are used as an ingredient in a recipe, also complete the Raw Material Receipt column. This is filled in addition to Goods Receipt, never instead of it.

  4. Check the Receipt date and quantities, set the sale price if needed, then save. The purchase price is displayed only and is taken from the invoice. Only saving records the stock entry.1. ADD RECEPTION NOTE

From the Costs menu, open the invoice for which you need to create the NIR, from the 3 points:

STOCK CREATION STEPS:

A and B create two different items of two different types: A creates the Goods item, while B creates the Raw Material item. It is correct for them to have the same name.

A. Create a product / consumable / packaging:

a. Write the name of the stock in the Goods receipt column

b. Select one of the add options from the drop-down list:

c. The window will open where you can Save the stock, where you must define the unit of measure and unit quantity of the stock. The VAT rate will be automatically taken based on the VAT rate of the item on the invoice. It is mandatory that this is the same for both.

d. Also from here you can add a tag that will help you filter stocks (in inventory, in the stock list, in management reports). After completing the tag, press the Enter key so that it is framed in a blue frame, then Save.

B. Create raw material:

a. Write the stock name in the “Raw material receipt” column.

b. Select the add option from the drop-down list:

c. The window will open where we can Save the stock, it must have the same unit of measurement as the goods in the previous column, and the VAT rate will also be taken over.

d. Also from here you can add a tag that will help you filter stocks (in inventory, in the stock list, in management reports). After completing the tag, press the Enter key so that it is framed in a blue frame, then Save.

If you click NIR and get an error message instead of the reception screen: the invoice contains incorrectly filled lines, and a NIR can only be generated from a valid invoice. Open the invoice — the incorrect row is tinted red, and the field that needs to be fixed has a red border. Correct or delete the line, save, then click NIR again.

2.Receipt Date

Above the item table, you will find the Receipt Date field — the date when the goods physically entered the inventory location. It is automatically filled in with the invoice issue date, but you can change it independently of the invoice.

It is especially useful for invoices imported from SPV, where the issue date is the legally issued date provided by the supplier and cannot be changed. If the invoice was issued on the 3rd of the month, but the goods arrive on the 10th, set the Receipt Date to the 10th and the stock entry will be recorded on the 10th.

Keep in mind:

  • The Receipt Date cannot be earlier than the invoice date — the goods cannot arrive before the invoice is issued. The calendar does not allow you to select an earlier date.

  • The Receipt Date cannot be in the future — you can select today at most.

  • The invoice Issue Date remains non-editable and is not changed. Only the Receipt Date is changed.

  • The stock movement generated by the NIR (the stock entry) is recorded on the Receipt Date, not on the invoice date. So, if you check the stock history later, the entry will appear on the day you actually received the goods.

  • The stock list in the receipt columns is loaded based on how it looked on the Receipt Date. If you change the date, the list is reloaded — so you can also see stock items that were renamed or created between the invoice date and the receipt date.

3. GENERATING THE NIR DOCUMENT

The NIR downloaded in PDF format will contain all the data you entered during the receipt process. The document displays two distinct dates: Date — the supplier invoice issue date — and, immediately below it, Receipt Date — the date when the goods physically entered the location. For NIRs created before this field was introduced, Receipt Date will display the invoice date.

4. EDITING THE NIR

  1. You can also edit the Receipt Date field — The NIR can be corrected at any time — there is no deadline after which the document becomes locked, and it does not matter how old the invoice or receipt is. When you save it again, the document’s stock movements are overwritten based on the form, so the goods are not added to stock a second time and you do not need to delete the NIR before recreating it. If you also change the Receipt date, the app asks you to confirm and moves all stock movements for that invoice to the new date.

2. In the opened window, you will be able to edit the stock items, and if you want to partially receive the quantity, you can set a lower value. If you want to add a larger quantity, you must edit the invoice. Changes can only be applied to manually entered invoices.

3. From the same window, you can also change the Receipt Date. This is an independent change — you can save it even if you do not modify any items or quantities. After saving, the NIR’s stock movements are re-dated to the new Receipt Date.

2. COMPLETE ENTRY:

The goods must be configured exactly as it is packaged.

  • For example, if a box contains 12 pieces, and each piece is 0.75 L, the unit of measure of the goods must be "L", and the unit quantity configured to 0.75. In this way, the 12 pieces will add up to 9 L, correctly reflecting the quantity purchased (12 pieces * 0.75 L = 9 L).

  • If the unit of measure is not configured according to the packaging (for example, setting it to 1 L instead of 0.75), the quantity on the invoice will be incorrect (the 12 pieces = 12 L). An erroneous configuration, such as setting the entire box to 12 L, will generate inconsistencies in management.

If the currently used goods are not configured correctly and cannot be edited, the solution is to create new, correctly configured goods.

If these goods are already part of the recipe of a "Sell it as I buy it" type product, it will be necessary to update the recipe, replacing the old goods with the newly created one. Also, the existing quantitative stock on the incorrectly configured goods must be transferred to the new correctly configured goods. This can be done by resetting the stock for the old goods and bringing the quantity to the new goods, in order to maintain a correct record in the management.

2.1 Goods Receipt Column (goods/packaging/consumables)

  • If you are using the stock as a commodity in the recipe:

    Select the stock used in the recipe. If the recipes have not been created yet, make sure that the stock added now will be included in the recipe later.

  • If you are using the stock as a raw material in the recipe:

    The name can be identical to the one on the invoice, for easier management, or defined manually, if you prefer to use your own name

  • If you are using the stock as packaging or consumable, select the appropriate option for the record.

In the results list, below the name of each item, you will see its unit of measurement and VAT rate, color-coded: green if it matches the VAT rate on the invoice, red if it does not. If you hover over an item row in the list, a green square with a pencil will appear on the left, which opens the item details directly from the NIR: you can correct the unit of measurement or VAT rate without leaving the receiving screen, and when you save, the item is automatically selected again on the line.

2.2 Raw material reception column

  • If you use stock as a commodity in a recipe

    If stock is used as a commodity, this field does not need to be filled in.

  • The two columns are not the same column filled in twice: they are used to select two different items of two different types. In Goods Receipt, you select the Goods item — what the supplier invoiced you for (the 1 kg bag of coffee); in Raw Material Receipt, you select a DIFFERENT item, of the Raw Material type — the ingredient that is deducted from the recipe (coffee). It is correct and normal for the two to have the same name: they are not duplicates, so do not merge them or delete either one. If you already have both the Goods and Raw Material created with the same name, your setup is correct — on the NIR, you fill in both on the same line.

  • If you use stock as a raw material

    You must add the raw material used in recipes. If recipes are not yet defined, make sure to create them later and include the raw material added now, to maintain correct management.

  • What happens if you leave the second column empty for a goods item that is also used in recipes? The coffee is added to stock, but it cannot be added to the espresso recipe and is not deducted when the product is sold. When both columns are completed, the same receipt handles both actions.

Note: If you need to modify the price, add a discount, or change other information, you must update the invoice first. After making the changes to the invoice, you can generate the GRN. Only manually entered invoices can be edited; invoices imported from S.P.V. are read-only.

For an invoice from S.P.V., copy it (three dots on the invoice row, then Copy invoice), make the changes on the copy, and generate the GRN on the copy — see the article “Adding invoices to Costs”, in the section “Correcting an invoice imported from S.P.V. — copy the invoice”.

A raw material's details do not have a VAT field: if the VAT rate needs to be corrected, it must be corrected on the goods line, and the raw material will inherit it from there.

The raw material is not created automatically by the goods receipt. If you do not fill in the "Raw material receipt" column yourself, the line enters inventory only as goods. The goods receipt line is one of the two ways to CREATE a raw material; the other is from the product recipe, in Nomenclature, and it can be used without an invoice. 2.3 Quantity Columns - are automatically taken from the invoice

a. If you receive the goods partially, you can set a smaller quantity. The remaining quantity can be managed later, depending on the needs.

b. If you want to receive a quantity greater than the quantity on the invoice, you must first correct the invoice and then generate the GRN again. If the invoice was imported from S.P.V., you cannot edit it — it is entirely read-only. In this case, copy it (three dots on the invoice row, then Copy invoice), correct the quantities on the copy, which is a Manual invoice, and generate the GRN on the copy. 2.4 Price Columns - the purchase price is taken from the invoice and cannot be edited on the NIR

The unit price on each receipt line is automatically taken from the supplier's invoice line and is displayed for information only: the column is read-only on every line and for every invoice — both for a manually entered invoice and for one imported from S.P.V. There is no “Purchase price” field on the NIR that you can fill in or correct.

What you can still modify on the NIR line: the received quantity (the only editable numeric column), the Goods receipt and Raw material receipt columns, the item's properties using the green pencil on the row (unit of measurement, unit quantity, VAT rate) and, for goods, the SALE price in its column (see section 2.5). The sale price is not the same as the purchase price.

If the purchase price is incorrect or was entered as 0, the correction must be made on the invoice, not on the NIR:

  • Invoice with Source: Manual: open it from Costs (three dots on its row, then Edit), correct the unit price on the line and save. If the invoice already had an NIR, the message “This invoice has already been received into inventory. To continue this action, you will need to regenerate the receipt (NIR). Are you sure you want to continue?” appears — confirm, and the NIR is deleted (“The receipt for this invoice (NIR) has been deleted. Don't forget to receive it again!”). Then generate the NIR again for the corrected invoice;

  • Invoice with Source: SPV: it is entirely read-only, so it cannot be corrected directly. Copy it (three dots on the invoice row, then Copy invoice), correct the price on the copy — which is a Manual invoice —, enter the Invoice No. and Issue date, generate the NIR for the copy, and only then delete the original from S.P.V. The source of an invoice can be seen in the Source column under Costs → Invoices (Manual or SPV).

Pay attention to the difference between “the price on the invoice is incorrect” and “the goods were added to inventory at a different price than the one on the invoice.”

In the second case, do not start with the correction described above: the price recorded in inventory is based on your unit of measure, meaning the unit price on the invoice line divided by the product’s Quantity per unit. Therefore, it is expected to differ from the invoice price by design.

For example, a case of 24 pieces invoiced at 120 lei is correctly added to inventory at 5 lei per piece.

First, check the conversion — see the article “The goods were added to inventory at a different price than the invoice: why this happens and how to check it” — and correct the invoice only if the check shows that the error is actually on the invoice line.

2.5 Sale price column

The NIR table now includes a Sale price column, which shows the current sale price (including VAT) for each received product.

If the product already has a sale price configured in the Nomenclature, the column displays that price (gross, VAT included).

If the product does not yet have a sale price, an info button labelled "Set first sale price" appears in the column. Clicking it opens a small window where you can:

- enter the sale price (gross, including VAT);

- select the VAT rate for the product.

After saving, the price is immediately applied to the product — there is no need to navigate to the Nomenclature separately. All POS devices are automatically notified to update their price list.

Note:

The info button is visible only to users who have write permissions for products. If you do not see the button, ask your account administrator to check your permissions under Settings > Users.

2.6 Receipt date — The NIR uses the item data from the document’s date and time

The NIR header contains the Receipt date field. It represents the date and time when the goods physically entered the inventory. By default, it is equal to the invoice Issue date, but it can be changed. It cannot be earlier than the invoice issue date and cannot be set to a future date. The field includes the time, not just the date.

The Receipt date is not just a label on the document. The NIR retrieves the goods as they were defined at that specific date and time, not as they are defined now. Goods are stored by versions: any change made to a stock item — name, unit of measure, VAT rate — creates a new version, and the NIR uses the version that was valid at the document’s date and time. For the same reason, when you change the Receipt date, the list of goods on the NIR is reloaded based on the new date.

The practical consequence is that if you change a stock item’s VAT rate today, NIRs dated before that change will continue to display the old VAT rate. This is not an error — at the date of that document, the stock item actually had the old VAT rate. A VAT rate that is no longer used today remains valid and correct on documents issued while it was in effect, and the company can still have it defined under Account Settings → Company → VAT Groups.

When you change the Receipt date on an already saved NIR, a confirmation appears when saving: “The goods will be recorded in stock on the receipt date, not the invoice date, and all stock movements for this invoice will be moved to the new date. Continue?” This is expected — that is exactly what it does: it moves the invoice’s stock movements to the new date.

3.GENERATION OF NIR DOCUMENT:

After completing the inventory entry on the NIR, you can choose to save or print the NIR document.

The NIR can be downloaded at any time from the Costs menu, from the 3 points on the right of the invoice:

1. To edit a NIR, access Costs - from the 3 points of the invoice based on which you added the entry, select Edit NIR:

2. In the window that opens, you can edit the stock quantities, and if you want to receive only part of the quantity, you can enter a lower value. If you want to add a larger quantity, you must correct the invoice — and the invoice can only be edited if it was entered manually. If it was imported from S.P.V., copy it and make the corrections on the copy; see the article “Adding invoices to Costs”, in the section “Correcting an invoice imported from S.P.V. — copy the invoice”.


Edge cases

Transport / delivery services on the invoice

In Ebriza you can only receive goods, raw materials, consumables and packaging - a transport service is not a stock type. You have two options:

  1. If you do not want to receive the transport: when generating the NIR, set quantity 0 on the transport service line. The NIR is then made only for the products received at the location, and the service does not enter management.

If you want to track the transport: record it in the NIR as a Consumable, so you can generate the final NIR with that cost included.

Lines you do not want in inventory: transport, services, equipment (fridge, display cabinet, laptop), and also a rubbish bin, a mop, a bucket or cleaning supplies

In Ebriza, only four stock types can be received: goods, raw materials, consumables, and packaging.

There is no "service" type and there is no "fixed asset" type, so none of the following should be received as goods: transport services, equipment (fridge, display cabinet, laptop, furniture, machinery), or small operating supplies such as a rubbish bin, a mop, a bucket or cleaning supplies.

If an item on the invoice looks like none of the four — not goods, not a raw material, not packaging,not a consumable — stop looking: there is no fifth type. On the NIR, Consumable is the catch-all for everything that is not goods, a raw material or packaging, from transport and a fridge to a rubbish bin. All that is left is to choose between the two options below: quantity 0, if you do not want the item in inventory at all, or Consumable, if you want the NIR value to match the invoice total.

A note about "Fixed assets": it is a PRODUCT type in the Product Catalog (used for the accounting export), not a stock type. The NIR receives stock items, not products, so "Fixed assets" does not appear anywhere on the receipt screen and cannot be selected on an NIR line. Do not look for it there.

Option A. You do not want the line in inventory (partial receipt): set the quantity to 0

  1. From the Costs menu, open the invoice, then click the three dots and select Generate NIR.

  2. On the line you do not want in inventory (transport, fridge, or anything else), set the quantity to 0 and leave the goods receipt column empty — a line with quantity 0 does not require a stock item.

  3. On the other lines, the ones that actually enter inventory (the milk in the example), enter the quantity normally.

  4. Save. A confirmation will appear saying that you are partially receiving the invoice — this is normal and exactly what you are doing. The line with quantity 0 appears crossed out on the NIR and is not included in either inventory or the NIR value.

Keep in mind: the NIR value will be lower than the invoice total by exactly the value of the line left at 0, while the invoice remains complete in Costs. You cannot set the quantity to 0 on all lines — an NIR must contain at least one received line.

A line is kept out of inventory only by setting its quantity to 0. There is no checkbox and no toggle on an NIR line — nothing like "receive goods yes/no" or "expense/not an expense"; the line is about stock, not about how the expense is booked. The Goods Receipt column is a search column: you either type the name and pick (or create) the stock item from the list, or you leave it empty. So there is nothing to untick — leave the column empty and set the quantity to 0.

Option B. You want the NIR value to match the invoice total: receive the line as a Consumable

  1. On the relevant line, in the goods receipt column, enter the name (for example, “Transport” or “Fridge”).

  2. From the suggestions list, select the option to create a new stock item with the type Consumable. You do not need to create anything in the Product Catalog beforehand — the stock item is created directly here.

  3. Leave the invoice quantity (usually 1) and save.

Keep in mind: the line becomes a real stock item and remains in inventory until you remove it. You can deduct it using a consumption slip (Inventory → Stock → select the stock item → Consumption Slip). The same applies to equipment: a fridge received as a Consumable remains in inventory until you remove it using a consumption slip.

Choosing between the two options is an accounting decision, not an application limitation. If you are unsure which option is appropriate, ask your accountant: Option A keeps inventory clean, while Option B makes the NIR value match the invoice value.

The NIR does not allocate the transport cost across the unit price of the goods (landed cost). If you want the cost included in inventory, Option B is the only way. Returnable packaging, on the other hand, has its own stock type — receive it as Packaging, not as a consumable.

I created the NIR, but the goods do not appear in stock — where to start

If you saved the NIR but the goods do not appear in inventory, it is almost always a data issue, not a display issue: the quantity was not actually recorded for the goods you are looking for. Go through the checks below in this order — the first two explain most cases.

  1. Open the NIR and check the lines for the missing goods. In Costs, click the three dots on the invoice row, then select Edit NIR. For each affected line, check three things: is the Goods Receipt column filled in? Is the quantity greater than 0? Is the goods item selected there actually the one you are looking for in inventory (and not a similarly named item)? A line that is left blank or received with a quantity of 0 will not be added anywhere — the NIR may appear to be completed, but the stock will not change for that line. See section 2.1.

  2. If you see stock for the raw material but not for the goods item, this is the cause. The two columns are not alternatives: Goods Receipt is what adds the quantity to inventory, while Raw Material Receipt is filled in alongside it, only for goods used as ingredients in recipes. Go back to the line and fill in Goods Receipt as well. See section 2.2.

  3. Check the entry in Inventory → History, filtered by the Entry movement type. Search for the goods by name or SKU code. Pay attention to the date: the entry generated by the NIR is recorded using the Receipt Date from the document, not the invoice date — if you set them to different dates, search on the receipt date. See section 2.6.

  4. Check the inventory location. Stock is managed by location, and the NIR records the goods in the inventory location selected on the document. If you have multiple locations, you may be looking at a different inventory location from the one where the receipt was recorded.

  5. If the goods were created directly on the NIR and the balance shows 0, you have not lost the receipt. When any new stock item is created, Ebriza automatically records a Reset movement with a quantity of 0. This movement may become the latest one chronologically and set the balance to 0. The explanation and solution are provided in the question “I created the goods/raw material directly on the NIR, received it, but the stock shows 0. Why?” below.

  6. Only if the entry EXISTS in History, with the correct quantity and in the correct inventory location, and you still cannot see it in the stock list, is this a display issue — in that case, check in an incognito window and clear your browser cache.

  7. If the issue is still not clear, contact us via chat and send us the invoice number for which you created the NIR, the inventory location, and 2–3 specific goods items that you cannot see in stock, so we can check the issue directly.

Until you have completed the checks above, do not recreate the NIR, delete movements from History, or add the goods again. In most cases, nothing has gone wrong — a line on the document was simply left incomplete, and the issue can be fixed from Edit NIR, on the same invoice.


Frequently Asked Questions:

Q: Do I need to create an NIR for every supplier invoice, or only for invoices containing products that enter inventory?

A: Create an NIR for any invoice that contains at least one line that enters inventory. The decision is made per line, not per invoice: if the same invoice contains both milk and a fridge, create the NIR for the invoice, enter the milk normally, and choose one of the two options for the fridge — set the quantity to 0 (partial receipt; the line is crossed out and does not enter inventory), or receive it as a Consumable if you want the NIR value to match the invoice value. You do not need an NIR for invoices that contain no lines to be received (utilities, rent, services, or equipment purchased on its own). See the “Lines you do not want in inventory” section above for the steps.

Q: How do I change a stock set as a consumable into goods?

A: A stock's type cannot be changed from Consumable to Goods. For these cases:

  1. Create a new Goods-type stock.

  2. Reset the unwanted Consumable stock to 0.

  3. If you no longer need it in Management, delete the Consumable stock after resetting.

Q: Why does the purchase price change when I edit the quantity while receiving an invoice imported from SPV?

A: An invoice imported from S.P.V. cannot be edited at all — not the price, quantity, unit of measure, or date. Only manually entered invoices have editable fields. If the values really need to be changed, copy the invoice (three dots on its row, then Copy invoice), make the corrections on the copy, and generate the GRN on the copy, then delete the original S.P.V. invoice. The full steps are available in the article “Adding invoices to Costs”, in the section “Correcting an invoice imported from S.P.V. — copy the invoice”.

An SPV invoice price cannot be edited directly (only manually-added invoices can). If it truly must change, edit the invoice first, then regenerate the NIR.

Q: How do I receive consumables (cups, cleaning products, fruit used only as-is) on the same NIR as goods, so the NIR value matches the invoice?

A: You don't need to create the product in the Catalogue first. Right on the NIR, on the item line, type the name in the goods-reception column and choose to create the stock as type Consumable. You deplete it later, when used, with a consumption note (Inventory → Stocks → select the stock → Consumption note).

For the NIR value to match the invoice, receive items as they appear on the invoice — don't merge several different items into a single "Consumables" stock, because units of measure and quantities differ and the values no longer match.

If the same item sometimes arrives in different quantities/UM (e.g. fruit: 1 KG one time, 300 G another) and you use it strictly as a consumable (not in recipes), create separate stocks for each variant (e.g. a 1 KG consumable and a 0.3 KG one) and pick the right stock at reception.

For goods you sell as-is (e.g. Coca-Cola), don't create duplicates — search for and select the existing stock already linked to the product in the Catalogue.

Q: Why doesn't the retail selling price show on the NIR, and how do I add it?

R: For the selling price to appear on the NIR, the goods on the invoice must be associated, in a recipe, with a single product from the Product Catalog (Product Catalog → Products). If the product does not yet have a selling price, you can set it directly from the Selling Price column in the NIR (gross price, including VAT, plus the VAT category) — see section 2.5 above.

It does not matter how many selling prices the goods have had over time: if there are multiple prices, when printing the NIR, you can choose which one to use on the document.

Note: the SGR guarantee is not included in the final selling price shown.

I: I created the merchandise / raw material directly on the NIR, completed the receipt, but the stock shows as 0. Why?

R: The receipt is recorded correctly - you can check the entry in Inventory Management -> History. The 0 you see comes from another movement: when any new stock item is created, Ebriza automatically records a Reset movement with a quantity of 0, using the exact time when the stock item was created. A Reset is an absolute movement - it sets the balance to its value - while the NIR entry is recorded using the receipt date from the invoice, not the time when you generated the NIR. When you create the stock item on the same day as the receipt, the creation entry becomes the latest movement chronologically and brings the balance back to 0.

What to do: do not delete the Reset movement; it is the automatic entry created when the stock item was created, and there is nothing to cancel. Do not recreate the NIR. Bring the quantity back to the actual value by performing a stock reset today (Inventory Management -> Stock -> select the stock item -> Reset Stock); since it is the latest movement chronologically, it sets the correct balance, while the average purchase cost (CMP) remains the one brought in by the NIR. If this happens with every newly created stock item or there are too many items to correct, contact us via chat with the NIR number, inventory location, and affected stock items.

Q: I press Save on the NIR and it does not save. How do I see what is wrong?

A: Look at the table: rows filled in incorrectly are tinted light red, and the field to fix has a red border. The most common cause is an empty Goods Receipt column on a line you want in inventory — see section 2.1. If the line should not enter inventory at all (transport, services, equipment), set its quantity to 0 and leave the column empty, as explained under “Lines you do not want in inventory”. The VAT message — “The received stock item must have the same VAT rate as the item purchased on the invoice.” — is a separate situation, explained in the next question.

Q: I changed the VAT rate of the stock item, but the NIR still shows the old rate and won't let me save. What should I do?

A: The NIR uses the VAT rate that the stock item had at the date and time of the document, not its current VAT rate — see section 2.6 above. If you changed the VAT rate after the document date, the NIR is correctly displaying the old rate. If the invoice uses the new VAT rate while the stock item still had the old rate at that time, saving is blocked with the message: “The received stock item must have the same VAT rate as the item purchased on the invoice.”

Do not change the VAT rate on the invoice line just to get past the message — that is a different situation (when the supplier actually invoiced you with a different VAT rate), and changing it here would make a correct document inaccurate. First, check the date and time when you changed the stock item's VAT rate and compare it with the document date. If you are not sure when the change was made, contact us via chat and we can check it for you.

  • If the document is dated before the VAT rate was changed: move the Receipt date on the NIR to a date and time after the VAT rate was changed (the field also includes the time). The Receipt date cannot be earlier than the invoice issue date.

  • If the invoice issue date is incorrect: correct it on the invoice, from Costs. This is only possible for invoices entered manually; for invoices imported from S.P.V., the invoice data cannot be modified, so you should use the Receipt date on the NIR instead.

  • If the document date is correct: there is nothing to fix. The old VAT rate is the correct rate for that document, and it remains valid on documents from that period.

  • If the stock item already had the new VAT rate at the document date but the NIR still displays the old rate: contact us via chat with the NIR number and stock item name.

Q: The invoice was issued a few days before I received the goods. How can I prevent the stock from appearing before the goods actually arrived?

A: Use the Receipt Date field in the NIR window. Set it to the day when the goods actually arrived at the location, and the stock entry will be recorded on that date, not on the invoice date.

The invoice issue date is not changed — it remains the date provided by the supplier, which is especially important for invoices imported from SPV. You can select any date between the invoice date and today.

If you already have an NIR saved with the wrong date, open it from Costs → Edit NIR, change the Receipt Date, and save it; the stock movements will automatically be redated.

Q: My supplier is not VAT registered and invoices me at 0%, but my goods are set at 11% / 21%. How do I create the Goods Receipt (NIR)?

A: Nothing is configured incorrectly. The VAT rate in the Product Catalog is the correct one for your other suppliers, while 0% is the correct rate on this supplier’s invoice. Because the NIR requires the received goods to have the same VAT rate as the item on the invoice — hence the message “The received goods must have the same VAT as the item purchased on the invoice.” — you can edit the VAT rate of the goods directly from the NIR line, without leaving the screen.

  1. In the Goods Receipt column, search for the goods. In the results list, below the product name, you will see the unit of measurement and its VAT rate, color-coded: green if it matches the VAT rate on the invoice, red if it does not. Red is the reason why the NIR cannot be saved.

  2. Hover over the goods row in the list: on the left, instead of the type label, a green square with a pencil will appear. Click it — the product details open directly from the NIR.

  3. In the VAT field, enter the rate shown on this invoice (0% for a non-VAT-registered supplier) and click Save. The goods will be automatically selected again on the line, and this time they will be accepted.

  4. Complete the rest of the line (received quantity) and save the NIR. Do not enter the price — it comes from the invoice line and is read-only on the NIR.

After you have generated the NIR, restore the VAT rate. The edit does not apply only to this document: it changes the goods going forward. For the next invoice from a VAT-registered supplier, change it back to the normal rate (11% or 21%), using the green pencil on the line of that NIR. This is a routine operation between two invoices, not a sign that anything is broken. NIRs that have already been saved are not changed: each one retains the VAT rate the goods had on the date of that document — see section 2.6.

There is nothing to edit for the raw material. A raw material's details do not have a VAT field because, when the NIR is saved, it automatically takes the VAT rate (and unit of measurement) from the goods it is linked to. The entire procedure above is performed on the GOODS line, never on the raw material line.

Do not change the VAT rate on the invoice line (the VAT column under Costs) to get past the message: this changes the supplier's item, while the invoice must remain exactly as issued by the supplier, and if it was imported from S.P.V., it is read-only anyway. Also, do not enable the company setting “Not VAT registered”: this refers to your company’s VAT status, not the supplier’s, and it does not resolve a 0% invoice received from a single supplier.

Q: I created the NIR, the goods were added to stock, but their cost is shown as 0 (they appear with a value of 0 in the recipe, and the average purchase cost is 0). Why, and how do I correct it?

A: The quantity was added correctly; what is missing is the value. The purchase cost of an item is calculated from the entries generated by the NIR, and if the invoice line had a price of 0, the stock entry is recorded with 0. As a result, the average cost (CMP) remains 0, and any recipe using that item is also costed at 0.

Check in this order:

  • Open the invoice from Costs and look at the unit price on the item's invoice line. If it is 0, this is the cause. When saving an invoice with lines at 0, Ebriza displays a warning — “You have items with a zero unit price. Are you sure you want to continue?” — and if you confirm, the receipt is recorded with 0.

  • If the price on the invoice is correct, check under Inventory → History how the item was added. A stock reset or inventory count does not create a cost: if the item was added to stock only through one of these methods, the average cost remains 0 until the first receipt with a price.

What to do: correct the price on the INVOICE, then regenerate the NIR — the steps are described in section 2.4 above, separately for a Manual invoice and one imported from S.P.V. After regenerating the NIR, the stock entry is rewritten at the correct price, and the item's average cost and the cost in the recipe are recalculated.

What not to do: do not look for a “Purchase price” field on the NIR — the price is read-only in the receipt grid for every invoice. Also, do not try to fix the cost with a stock reset or an inventory count: these do not create a cost and do not change the average cost.

If, after correcting the invoice and regenerating the NIR, the cost is still 0, contact us via chat with the invoice number, NIR number, item, and inventory location.

Q: If I make a mistake on the NIR, can it still be corrected?

A: Yes, at any time. There is no age limit for an NIR. You can open it from Costs by clicking the three dots on the invoice row and selecting Edit NIR — or from Inventory > Receipts, where you have Edit NIR, Print NIR, and Delete NIR. Correct what is needed and save: the stock entry is overwritten, not duplicated. If you cannot find the document under Inventory > Receipts, expand the date range — the list defaults to the last 3 months. Be careful not to confuse this with the 6-month rule: that rule applies to stock movements in Inventory (consumption note, production, stock reset, transfer), not to receipts.

Q: My invoice has a rubbish bin on it (or cleaning products, a mop, a small item of inventory) —

which type do I use for it on the NIR? It is not merchandise, not packaging and not a consumable.

A: What you receive on a NIR is stock, and stock has only four types: merchandise, raw material,

packaging and consumable. There is no fifth type, and there is no “fixed asset” — that is a product

type in Products and it does not appear on the reception screen. For a bin, a mop, a detergent or any

other item that you neither sell nor use in recipes you have two options, and choosing between them

is an accounting decision, yours or your accountant's:

A. You don't want it in stock at all: put quantity 0 on its line and leave the Goods reception

column empty. The line stays on the NIR as a record of the invoice, appears struck through and

creates no stock movement at all. The NIR total will be lower than the invoice total by exactly the

value of that line.

B. You do want to keep it in stock (and you want the NIR value to match the invoice): receive it as

stock of type Consumable, with the quantity from the invoice. It stays in stock until you take it

out with a consumption receipt (Stock → Stocks → select the stock → Consumption receipt), which you

issue when the item is actually put into use.

Accountants usually ask for option A for items like these, but both are correct in the application.
