How groups are billed

Groups run on annual invoices with net-30 terms — built for institutional purchasing, POs, and finance departments. Everything lives behind Manage payment & invoices on your Group Dashboard, which opens a secure Stripe billing portal: pay invoices, update payment methods, download every invoice as PDF. Invoices can be paid by card, ACH debit, or bank transfer (wire) — the bank details print on the invoice itself.

Adding or reducing seats

Adding seats is fully self-serve from the dashboard. New seats are prorated for the remainder of your term, priced at the volume tier your new total qualifies for, and provision immediately — the invoice follows on net-30 terms. Growing into a better discount tier applies automatically.

Reducing seats is self-serve too. Choose the lower count on the dashboard and it's scheduled for your next renewal — you keep every seat you've paid for through the current term, and the renewal quote and invoice adjust automatically at your group's per-seat rate. You can't reduce below the seats currently in use (free some up first by removing members), and you can cancel a scheduled reduction any time before the renewal.

Changing the group's plan

Upgrades (say, Plus → Max for CME) take effect immediately with a prorated invoice for the difference. Downgrades apply at renewal. Both from the dashboard's billing panel.

The renewal timeline — no surprises

  • ~4 months before renewal: we email you the renewal ask — seat count confirmation and quote. This is the moment to resize.

  • ~2 months before: the renewal invoice issues, net-30 as always.

  • Reminders follow automatically if an invoice is still open.

  • If the date slips past before an invoice was issued, the invoice still issues automatically for up to 45 days afterwards, net-30 from the day it issues, and your access continues in the meantime.

We front-load this because we know institutional payments take time. If your finance office needs a W-9, sole-source letter, or vendor registration, message us early and we'll get you everything.

If an invoice goes unpaid

Access doesn't vanish the day an invoice is late — there's a generous grace period and we'll contact you well before anything is interrupted. If your group has lapsed and seats were suspended, paying the open invoice restores everything, roster intact (we keep it for 12 months).
