Setting up Storage Areas

How to setup storage areas and add products for stockcounts

Summary

Storage areas are the locations within a site where stock is kept and counted - a Fridge, a Bar, a Storeroom. Setting them up splits your stocktake into logical counting zones and prefills the items you'll count in each, so counts are faster and more accurate.

Storage areas are set per site, so each site can have its own. They carry over to every future stocktake - set them up once and maintain them as things change. It's worth getting them ready ahead of your first count rather than on stocktake day.

Storage areas are managed from within a stocktake. Open Stocktake from the left-hand menu, start or open a stocktake, then use the Storage areas button (top right).


Creating and ordering areas

To setup storage areas for the first time:

  1. Open Count Stock

  2. Select Configure storage areas

  3. Input the name of the storage area

  4. Click Add area to create another storage area

  5. Use the up/down arrows to sequence the areas in the order you would like them to appear when counting

  6. Select Save.

  7. Click Back

Once you have created storage areas you can edit and remove them as required by selecting Storage areas.

To rename an area, edit its text field. To remove one, use the bin icon.

⚠️ An area being counted on a stocktake that's been submitted but not yet closed can't be deleted. Close (or reopen) that stocktake first.


Adding items to an area

  1. From the open stocktake, open the area you want to fill (its tab) and select Edit items.

  2. Use the search bar to find what you want to count - you can add products, master products, and recipes from the one search.

  3. Select an item to add it to the area.

  4. Reorder the items with the up/down arrows so they match the order you'll physically count them.

  5. Select Save (the page flags Unsaved changes until you do).

The same item can sit in more than one area if you store it in several places - each area's count is added together for the item's total.

⚠️ If a recipe doesn't appear in the search, it may not be assigned to this site. Go to Recipes and check the recipe's site allocation.
