How to produce invoices for your CPU orders

Summary

If you manage a CPU, you can download invoices for the orders your customers place. Orders move to invoicing when you set their status to Invoices, and once downloaded they're kept in a separate area so you can track what's already been invoiced. If you use Xero, a dedicated report lets you download invoices in a format you can import straight into Xero.


Downloading invoices

  1. Select your CPU from the site switcher in the top left.

  2. Open Dispatch Orders

  3. Tick the orders ready to invoice.

  4. Select Change Status, then Invoices

  5. Click Change Status

  6. Switch to the Invoice pill

  7. Select the invoices you want to download

  8. Click Export Invoices

This will produce a CSV of the orders and the items within them.


Once downloaded, invoices move to Downloaded Invoices within CPU, so you can see what's already been invoiced.


Using the CPU Invoices report with Xero

If you use Xero, the CPU Invoices report lets you download invoices in a format you can import directly. If it isn't switched on for you yet, let the team know at hello@edifysystems.io and they'll enable it.

  1. Open Reports and Dashboards

  2. Select the CPU Invoices

  3. Use the date picker to choose the date range.

  4. Filter to the customer you want invoices for.

  5. Make sure you're on the Details table.

  6. Select Download Details.

  7. In Xero, go to Invoices → Import and import the downloaded file.

The invoices are then in Xero, ready to send to customers. The report includes all CPU orders except deleted ones.


Frequently asked questions

Does Edify push my CPU invoices into my accounting software automatically

There's no automated integration. If you use Xero, use the CPU Invoices report to download and import them in bulk.

How do I keep track of what I've invoiced?

Once an invoice is downloaded it moves to Downloaded Invoices, so you can see what's been sent out and what hasn't.

Do CPU orders move to Invoice status automatically?

No. Once an order is produced and shipped, set its status to Invoices yourself. Doing this at the end of each day keeps things simple.

Do I need to create the customer in Xero first?

No. The first time you upload an invoice for a customer, Xero creates the contact for you, named as the customer's name on the Edify invoice (for example, Internal – XYZ). Future uploads for the same customer group together, as long as the name stays the same in Edify.
