We know trust matters. This article explains what information we hold about you as a carer, why we need it, how we keep it safe, and your rights.

Why we collect your information

We only collect and use information about you when it’s necessary to:

  • Recruit and onboard you safely

  • Meet legal and safeguarding requirements

  • Arrange and manage care placements

  • Pay you correctly and on time

  • Provide training, supervision, and support

  • Meet CQC and other regulatory requirements

Without certain information, we may not be able to offer or continue work with edyn.care.


What information we hold about carers

Depending on your role, this may include:

Personal details

  • Name, date of birth, contact details

  • Address and emergency contact details

  • Right to work in the UK

Employment and compliance information

  • DBS check status

  • References

  • Training records and certificates

  • Experience, qualifications, and competencies

  • Insurance details (where applicable)

Work and placement information

  • Availability and preferences

  • Check-in and check-out times

  • Visit and placement records

  • Mileage or travel data (where relevant)

Payment information

  • Bank details

  • Invoices and payment records

System and device information

  • App usage (for work-related purposes)

  • Device and log-in information

  • Location data where required to verify visits or mileage

We do not collect more data than we need.


How we use your data

We use your information lawfully under UK GDPR for reasons such as:

  • Performing our contract with you

  • Meeting legal and safeguarding duties

  • Ensuring care recipients are safe

  • Managing placements and rotas

  • Paying you

  • Improving our systems and services

Marketing communications are only sent where you’ve agreed to receive them.


How we keep your information safe

We take data protection seriously. This includes:

  • Secure systems and encrypted platforms

  • Restricted access (only people who need access have it)

  • Staff training on data protection

  • Secure handling of any paper records

  • Clear procedures for reporting and managing data breaches

If anything ever goes wrong, we have processes to act quickly and transparently.


Who we may share your data with

We only share your information when necessary, for example with:

  • DBS and background check providers

  • Payroll and payment providers

  • Training platforms

  • Regulators or authorities (where legally required)

We never sell your data and do not allow third parties to use it for their own marketing.


Your rights as a carer

You have rights under UK GDPR, including the right to:

  • Ask what information we hold about you

  • Request a copy of your data

  • Ask for incorrect information to be corrected

  • Ask questions about how your data is used

  • Object to certain types of processing

  • Withdraw consent where consent is used (e.g. marketing)

We aim to respond to requests within one month.

We may need to verify your identity before sharing information, to keep your data safe.


If you’re worried about data use or privacy

If you believe your data has been used incorrectly, or you’re concerned about privacy or security:

  • Contact us first so we can look into it quickly

  • You also have the right to raise concerns with the Information Commissioner’s Office (ICO)

  • We only use your data to support safe care and fair working arrangements

  • You have control and rights over your information
