Understanding confidentially

As a carer, you may be trusted with personal, medical, and sensitive information about the people you support. Keeping this information safe is a legal requirement.

✅ Your responsibility as a carer

You must keep all information about care recipients, their families, and colleagues confidential, unless you are authorised or legally required to share it.

This includes:

  • Personal details (name, address, contact details)

  • Medical information (conditions, medication, care plans)

  • Financial details

  • Family or next-of-kin information

  • Anything shared with you in confidence during care


🚫 What you must NOT do

As a carer, you must never:

  • Discuss a care recipient’s situation with friends, family, or other carers

  • Share information on social media (even if names aren’t used)

  • Give out next-of-kin details

  • Confirm whether someone receives care from edyn.care

  • Discuss rotas, other carers, or internal company information

  • Access records you don’t need for your role

If you’re unsure — don’t share. Ask first.


📞 Handling phone calls and enquiries

If you receive:

  • Calls from unknown people

  • Enquiries about a care recipient’s health, admission, or discharge

  • Requests from the police, press, or external organisations

👉 Do not comment or confirm anything.
👉 Refer the enquiry immediately to the Registered Care Manager (RCM) or the office team.


📂 Care records & information

  • Care records are stored securely by edyn.care

  • Only authorised staff may access them

  • Never leave paperwork or devices unattended

  • Do not take photos, screenshots, or copies of records

  • Only use information needed to carry out your care duties


⚖️ When information can be shared without consent

Confidential information may be shared without consent if there is a lawful reason, including:

  • Safeguarding concerns

  • Risk of serious harm

  • Legal or regulatory requirements

  • Requests from CQC or Local Authorities

In these situations, only the minimum necessary information will be shared, and this should be done through the care management team — not independently.


🚨 Data breaches & concerns

A confidentiality breach includes:

  • Losing paperwork or a device

  • Sending information to the wrong person

  • Discussing care in public or where others can hear

  • Accessing information you don’t need

If this happens:

  1. Report it immediately to the RCM or office

  2. Do not try to fix it alone

  3. Cooperate with any follow-up

Reporting a concern promptly is the right thing to do and helps protect everyone.


🏠 Confidentiality when working remotely or in the community

You must:

  • Use only company-approved devices

  • Ensure conversations cannot be overheard

  • Lock screens when away from devices

  • Store any paperwork securely

  • Never leave records visible in shared spaces


🎓 Training & support

All carers must:

  • Complete mandatory confidentiality and data protection training

  • Follow edyn.care policies at all times

  • Ask for guidance if unsure

If you ever have a question about confidentiality, ask your manager or the office team — you will never be criticised for checking.
