Manage Project Allocations, Absences, and Availability in Eemel

The Workload Calendar allows you to schedule projects (quotes), trainings, vacations, and other workload entries per employee.


Enabling the Workload Calendar

  • Activate it via the Your Subscription page (top menu button)


Adding Employees to the Calendar

  1. Go to My Info → Users

  2. Make sure under Workload Calendar Info → Visible in workload calendar? the answer is Yes

  3. Under Basic Info, set Active / Allowed to log in? to Yes


Roles and Permissions

  • Set roles under My Info → Roles

  • Users with roles other than "Admin" will have their calendar access limited based on their role settings

  • Specific permissions for the calendar include:

    • Add workloads

    • Edit workloads

    • Delete workloads

    • Add vacations for all

    • View user details

  • Admins have full access unless restricted by assigning a role

“View user details” allows showing additional info beside the employee’s name in the calendar, defined under My Info → Users → Other → Additional Info


Quotes and Projects

  • Quotes can be scheduled into the calendar if the Quote Management module is enabled

  • Access quotes under Sales → Quotes

  • In the workload pop-up, search for a quote (use reference/title for faster lookup)

Without the Quote Management module, only workload types like VACATION, RESERVED, TRAINING, COMPLAINT, OTHER can be added.


Color Coding and Status

  • Workload entries appear in different colors based on their type

  • Quotes change color based on their status: Inquiry, Offer, Order, Invoiced, Expired


Employee Groups

  • Used to organize staff into categories (e.g., Installers, Plumbers)

  • Add/edit groups via My Info → Employee Groups

  • Alternatively, create a group directly when editing a user

  • The group must be Active = Yes to appear in the calendar


Adding a New Workload Entry

  1. Click and drag across the desired dates in the employee’s row

  2. In the pop-up, select the relevant quote/order (if applicable)


Touchscreen Interaction

  • 1st tap = activate move/resize mode

  • 2nd tap = open info box

  • Drag arrow on the right to adjust duration

  • Tap empty space to create a new workload (green block appears)

  • Adjust duration by dragging the arrow

  • Tap the arrow or drag only one block to create a 1-day entry

  • Lift finger to open the New Workload pop-up

  • Resize the Team/Group column by tapping the heading and dragging to adjust width


Using the Calendar Interface

  • Today button jumps to current day (visible if the calendar spans 3–6 months)

  • SEARCH fetches calendar data per filter settings: start year/month, duration, offices, employee groups

  • Size buttons zoom in/out; the number between them toggles month dividers

  • Holidays are shown in bold yellow — tap for details

  • Click an empty space in a workload row to see the employee/group name

  • Move workload by dragging the block

  • Resize workload by dragging the handle on the right edge

  • Click a workload to open its info card:

    • Clicking start/end date navigates to that day

    • Use the Delete button in the info card to remove it

  • All changes auto-save, and successful saves show an animation

  • Failed saves show a popup alert

  • Use the arrow buttons to move calendar one month forward/back

  • Resize the Group column by dragging the header

  • Add extra workload rows via the plus (+) button per employee

    • Allows overlapping entries

    • Empty rows without entries are removed on reload

    • Additional rows are shown in grey and have a circular plus icon


Add Vacation for All

  1. Add VACATION/RESERVED entry to one employee

  2. In the pop-up, click Add to All to apply to everyone
