Why does someone have two profiles in Eitje?

Sometimes, the HR integration may create a duplicate profile. This article shows you how to fix it.

If your HR system is integrated with Eitje and team members are imported through synchronisation, a team member may occasionally appear twice in Eitje.

A duplicate profile can cause issues when exporting hours or updating contract information, so it’s important to resolve this.


Which profile should you keep?

If the duplicate profile was only recently created in Eitje, it’s usually not a big issue. However, if the duplicate has been there for a while without being noticed, scheduled shifts and worked hours may have been recorded under both profiles. In that case, this will need to be corrected first.

💡 Tip: Change the team member’s name in their profile (for example, “Samira X,” as shown in the image below). This makes it easier to distinguish between the profiles.

  1. Check the Planning for future dates, and review the Hours section for past dates. Make sure all scheduled shifts are assigned to one profile, and all recorded hours are linked to the same profile. You can simply drag each shift or time entry to the correct profile. The example below shows the Hours per team member page.

  2. Remember which profile you need to keep — the one that contains all scheduled shifts and time entries.

  3. Check which email address the team member uses to log in, and make sure that address is in the profile you keep.


How to solve this for Nmbrs

  1. Navigate to 'Team' in the main menu, and open the profile you do not wish to keep.

  2. Click 'Edit' on top of the page.

  3. Add something to the email address to make it invalid, and save.
    Example: OLDexample@eitje.app, or Xsamira@example.nl.

  4. In the menu on the left, go to 'Other' and locate the Nmbrs ID. Cut the ID so the field is empty, and make sure to save (copy) it, as you will need it later. Click 'Save', and close the window.

  5. Now, open the profile you wish to keep. Click 'Edit'.

  6. Go to 'Other' and paste the Nmbrs ID in the corresponding field. Click 'Save'.

  7. Make sure this profile has the correct email address.

  8. Go back to the 'Team' page, find the 'Tools' button (top right), and click 'Sync team members'.

  9. After the sync, refresh the page and you will see that all contracts and profile information have now been added to the correct profile.

  10. The wrong account can now be marked as inactive.


How to solve this for Loket

  1. Navigate to 'Team' in the main menu, and open the profile you do not wish to keep.

  2. Click 'Edit' on top of the page.

  3. Add something to the email address to make it invalid, and save.
    Example: OLDexample@eitje.app, or Xsamira@example.nl.

  4. In the menu on the left, go to 'Other' and locate the Loket ID. Cut the ID so the field is empty, and make sure to save (copy) it, as you will need it later. Click 'Save', and close the window.

  5. Now, open the profile you wish to keep. Click 'Edit'.

  6. Go to 'Other' and paste the Loket ID in the corresponding field. Click 'Save'.

  7. Make sure this profile has the correct email address.

  8. Go back to the 'Team' page, find the 'Tools' button (top right), and click 'Sync team members'.

  9. After the sync, refresh the page and you will see that all contracts and profile information have now been added to the correct profile.

  10. The wrong account can now be marked as inactive.


How to solve this for Fooks

  1. Navigate to 'Team' in the main menu, and open the profile you do not wish to keep.

  2. Click 'Edit' on top of the page.

  3. Add something to the email address to make it invalid, and save.

  4. In the menu on the left, go to 'Other' and locate the Fooks ID. Cut the ID so the field is empty, and make sure to save (copy) it, as you will need it later. Click 'Save', and close the window.

  5. Now, open the profile you wish to keep. Click 'Edit'.

  6. Go to 'Other' and paste the Fooks ID in the corresponding field. Click 'Save'.

  7. Make sure this profile has the correct email address.

  8. Go back to the 'Team' page, find the 'Tools' button (top right), and click 'Sync team members'.

  9. After the sync, refresh the page and you will see that all contracts and profile information have now been added to the correct profile.

  10. The wrong account can now be marked as inactive.


Background information

A duplicate profile usually happens when the team member’s email address in the HR system doesn’t match their email in Eitje.

When a new team member syncs for the first time, the system looks for an existing profile in Eitje with the same email address. If it finds a match, it links the profiles using the HR ID number.

With each synchronisation, the system will no longer check the email address but will use the ID number instead. You can always find this ID in the team member’s profile (click 'Edit', then 'Other').

When the email addresses do not match - even if only one character is different - the system will create a brand new profile in Eitje for that team member. This new profile will then have the HR ID number, while the existing profile will not.
