Availability settings

There are different settings for your availability. Learn more about the different options.

You can find these settings in two locations in Eitje:

  • In the 'Venue settings' (menu icon in the top right corner of Eitje).

  • If you are on the 'Team availability' page, find 'Settings' under 'Tools' (top right of the page).

Availability settings

Normally, team members can adjust their availability per day in their profile in the app, or when they log on in the web version. However, this feature will not be available to them in the following cases:

  • The availability feature has been deactivated.

  • A 'Manager' (or 'Admin') has manually deactivated the feature for a specific day.

  • The minimum staffing has been met.

  • The deadline (auto-close) is active for that day.

  • The basic settings only allow availability to be be changed by a 'Managers' or an 'Admin'.

  • Basic settings

    Click 'Basics' to get to the basic settings regarding availability:
    1. 'Active': This feature is active by default. If you want, you can deactivate it here.
    2. 'Who can update availability?': If the availability feature is active, you can choose whether you want team members to submit and update their own availability, or whether you limit this to only 'managers' (including 'admins').
    3. 'Default': Here you choose whether all team member are by default 'available' or 'unavailable'. This setting is applied to all venues.
    4. 'Make comment mandatory when unavailable': When this is activated, the comment section will be mandatory when a team member changes their status to 'unavailable'.

  • Minimum staffing

    To prevent too many team members to be unavailable on the same day, you can configure a minimum staffing setting. When this minimum is met, no other team member can change their availability to 'unavailable'. Read more about it in this article: Minimum staffing

  • Deadline (auto-close)

    Do you want your teams to not be able to change their availability, for example, 3 weeks in advance? When this is closed, it is easier for you to start creating the schedules for those days or weeks. Click here to learn how to set it up.

Close manually per day

If for whatever reason you want to close the availability feature for one or a few days, you can do this in the availability overview.

➑️ Navigate to 'Planning', then 'Team Availability'.

Click on the day (date) to either open or close. This allows you to determine whether the availability can be updated or not for specific days.

  • Status "Open": click on the date to manually close.

  • Status "Closed (manually)": click on the date to manually open.

  • Status "Closed (deadline)": this cannot be re-opened as it was automatically closed due to the deadline settings.
