Elemeno Resources: How They Differ from Policies (And Why You Need Both)

As a nurse manager or nurse educator, you're already an expert at creating, managing, and referencing comprehensive hospital policies. Now, with Elemeno, you can expand your toolkit to include digital, hyper-local job aids and short-format reference materials that put critical information directly in your staff's hands. This guide will help you understand how these tools differ from traditional policies—and why both are essential to your organization's success.

Understanding the Difference

Hospital policies and short-format reference materials serve different but complementary purposes in clinical practice.

  • Policies are comprehensive documents that provide the full picture. They include detailed procedures, rationale, regulatory context, exceptions, and supporting information. While thorough, policies can be challenging to navigate during time-sensitive clinical situations when staff need immediate, actionable guidance.

  • Short-format reference materials (aka Job Aids) are designed for point-of-care use. They're scannable, focused, and action-oriented—giving clinicians exactly what they need to know in the moment without unnecessary detail.

Best Practice Approach

Many of our customers have found success by creating a two-tiered system:

  1. Develop short-format derivatives of comprehensive policies that distill the essential steps and key decision points

  2. Include a direct link to the full policy within the Elemeno Resource, allowing users to access additional context when time permits or questions arise.

Working with Your Policy Management System

  • When creating resources that reference policies, provide Elemeno with durable links to your policies. A durable link (also known as a persistent link, permalink or stable URL) is a permanent web address that directs users to a specific, unchanging location for online content. That way, if the policy is updated, readers are directed to the most current version.

  • If your policy data store provides a way to save notes along with a policy, include links to any Elemeno resources that reference the policy so that when the policy gets updated, the policy owner is reminded to update the Elemeno resource(s) accordingly.

This approach ensures staff have immediate access to the guidance they need while maintaining the integrity and availability of comprehensive policy information. The short format supports rapid decision-making at the bedside, while the policy provides the depth needed for complex situations, training, or compliance review.
