Manage participants registrations in one place, cutting down on paperwork while keeping all information centralized.

1. Setting Up Registrations

During the final step of competition creation, the admin decides whether to enable registrations:

  1. Closed: No registrations allowed.

  2. Open: Registrations allowed with options:

    1. Auto Accept Applications: Automatically approve registrations and add gymnasts to the competition. If this is turned off Admin must manually accept or decline each registration.

    2. Auto Close Applications: Automatically close registrations at a specified date and time.

    3. Show Gymnasts to Public: Control visibility of approved gymnasts (immediate or after registrations close).

    2. Discipline setup:

    a. Simple structure: In a simple structure, this format is mostly used for smaller competitions and control training. It’s ideal if you have just one program or category or want to record a control training as preparation for a competition.
    You can select all apparatuses (enable or disable specific ones), set the number of vault attempts, and choose how results are displayed—individual apparatus, all-around, or team results.


    b. Advanced structure: The advanced structure is mainly used for larger and more complex competitions. If you have multiple programs (levels), you can add categories within each program (such as age groups: senior, junior, etc.). Once all programs and categories are added, you can set specific rules for each category, including selected apparatuses, vault setup, and result lists.


2. Invite participants to register

Once registrations are enabled, the admin can share the registration link with participants:

  • Use the "Send Invite" option to generate a link for registrations.

  • Copy the link and distribute it to the desired individuals or teams, enabling them to register gymnasts and other participants directly.

  • If you have multiple disciplines, levels or age groups in your competition you don't need to send multiple invitation links—one link is valid for all regstrations

  • Admin can also manage registrations in the Settings by:

    • Uploading documents (e.g., competition directives) for participants to view or download.

    • Manually adding gymnasts if needed.

    • Change the registrations close date or close it manually at any time


3. Participants Access

Registrants receive a link to access the registration system. After clicking on a link registrations will open in the web browser. They must log in to proceed.

Alternatively, they can also user mobile app to register, link to the registrations form will appear inside the competition, on top of the screen.

  • Registrants can:

    • View documents uploaded by the admin.

    • Add gymnasts individually or in bulk, including team entries by specifying a club name.

    • Update or delete registrations while the registration period is open.

    • Registrants can add other participants (e.g., judges, coaches) directly. These additions do not require admin approval.


4. Registration Statuses

Registrations can have the following statuses:

  • Pending: Awaiting admin approval.

  • Approved: Approved and added to the competition.

  • Declined: Rejected by the admin.

Updates to approved registrations automatically reflect in the system, and the admin is notified.


5. Notifications and Approvals

  • Admin receives notifications for every new or updated registration.

  • By clicking on notifications, the admin can approve, decline, or update registrations.

  • Approved gymnasts appear in the "All Gymnasts" table. Declined registrations remain visible to registrants for action.


7. Closing Registrations

  • Admin can close registrations manually in the Settings or automatically (if configured).

  • Even after closure, pending registrations remain accessible for admin review and approval.
