Creating Teams
Teams can be created to assign / group specific Users and/or Drivers together, as well as their corresponding Tasks and Customers. Drivers and Users can also be assigned to multiple Teams. Drivers and Users will be included in all the operations and Tasks related to all the Teams they are members of.
Note: A User of Team A, for example, will only be able to view Tasks and Drivers associated with Team A, unless that User is assigned to other Teams.
This is a particularly useful feature if you are looking to manage certain aspects of your operations separately. For example, separate depots, geographical areas, operational use cases, and task types.
To create a Team, navigate to the Teams tab ⇒ Add a Team. Select the Users and Drivers you wish to assign to that particular Team using the drop-down menus. Optionally, you can also specify which Zones the Teams are to cover. Click Save in the top right corner once you have completed your changes.
Team Countries
You can assign Teams to specific countries, which makes it easy to organize them by where they operate. This is especially useful if your business works across multiple countries.
Team Groups
This feature is perfect for large operations with numerous teams. Grouping teams can make it easier to filter them by department, function, manager, or any other criteria you need.
Default Skills
You can set default Skills for each Team in your workspace. When a Driver is assigned to a Team, they automatically inherit that Team’s default Skills. If the Driver had no Skills before, they receive all of the Team’s default Skills. If they already had Skills, the Team’s default Skills are added to their existing ones.
When a Driver is removed from a Team, that Team’s default Skills are removed as well. This keeps each Driver’s Skills in sync with their current Team, even as you move Drivers between Teams.
If a Driver already had one of the Team’s default Skills before joining, they keep it after leaving, since it was originally assigned to them. This way, each Driver’s Skills stay in sync with their current Team as you move them between Teams, without losing any Skills that were theirs to begin with.
What happens when a Driver changes Teams?
When you change a Driver’s Team, their existing Routes and Tasks stay with the Driver’s original Team. To view Tasks completed while the Driver was in that Team, select the original Team in your filters. The same applies to filtering in Analytics: data from before the change stays under the original Team.
If the Driver already has a Route when you change their Team, the new Team isn’t applied to those Tasks automatically. To update them, unassign the Tasks and assign them to the Driver again.
Assigning a Team to a Task
You can assign a Team to a Task from the dashboard or through the CSV file used for Task import.
From the dashboard, there are two ways to do it:
When creating the Task: If you’re creating the Task manually, select the Team in the Advanced tab of the Task form.
You can also assign a Team after the Task has been created. Go to Tasks ⇒ Task profile ⇒ Actions ⇒ Assign to a Team.
To assign Teams when importing Tasks from a CSV file, enter the Team for each Task in the Teams column.
The Teams column needs to be populated with the exact Team name, which can be copied from Teams ⇒ Team Profile ⇒ Name.
Assigning a Driver to a Team
There are two ways of doing this. One is done through the Driver section, and the other from the Team section.
From the Drivers section: Go to Drivers ⇒ Driver profile ⇒ Edit ⇒ Assign to a Team. Available Teams appear in the box on the left, and Teams already assigned to the Driver appear in the box on the right. To assign a Team, move it to the right box. To unassign a Team, move it back to the left box.
Or you can add Drivers to teams in Teams ⇒ Team Profile ⇒ Drivers
Assigning a Team to a Customer
It is possible to have a dedicated Team of Drivers delivering to a specific Customer, You can assign a Team to a Customer via CSV import, or manually through the Customer profile.
Once this is set up, in future optimizations the system will consider this and delegate tasks relating to a specific Customer to only the Team(s) or Driver(s) assigned to the Customer.
You can assign a Team to a Customer in Customers ⇒ Customer profile ⇒ Edit ⇒ Assign to a Team.
Once you've made any changes, click Save.
Deleting Teams
You can delete one Team or multiple Teams simultaneously.
To delete one Team go to Teams ⇒ Team profile ⇒ Actions ⇒ Delete.
To delete multiple Teams go to Teams ⇒ Select Teams ⇒ Actions ⇒ Delete
Before deleting a Team, make sure that there are no Drivers assigned to it, otherwise, you will not be able to delete the Team.
