This article runs through the embed signage CMS dashboard features helping you gain quick insights and perform actions for your digital signage network.

When you login to embed signage, you'll be welcomed to the Dashboard.

Here's a breakdown of the Dashboard sections:

Devices

A tally for Devices including:

  • Total - full count of devices registered

  • Online - count of all registered devices currenlty online

  • Offline - count of all registered devices currently offline

Licenses

A tally for Licenses including:

  • Total - full count of all license types

  • Expandable details - see more specific details for each license type including breakdown of sub-types

  • Alerts for Expired and Expiring soon

Tip: Click on the 'expired' or 'expiring soon' alerts to be taken to a filtered view of the account licenses (Account Settings > Subscription)

Needs Attention

Quickly see a list of important operational tasks which can include:

  • Offline Devices:

    A device is no longer connected to embed signage.
    ​Action: View the device to check its connectivity and status.

  • Licences Expiring:

    Licences approaching their expiry date are grouped by urgency:

    within 1 week, 2 weeks, 1 month, or 2 months. Each expiring licence generates its own notification.

    Action: Contact your supplier to renew before expiry.

  • Licences Expired:

    Licences that have passed their expiry date. Expired licences cannot serve content to devices.

    Action: Contact your supplier to reactivate.

  • App Outdated:

    Checks the embed signage app version on all devices against the latest version available in the CMS for that platform.

    Action: Update the app to the latest version.

  • Firmware Outdated:

    Checks whether a firmware update available for the device via the CMS. This only applies to platforms where the CMS provides firmware updates: BrightSign, Samsung Tizen, and LG WebOS for Signage.

    Action: Update the device's firmware to the latest version via the CMS.

  • Inactive Users:

    User accounts where the last login is more than 6 months ago. This helps identify dormant user accounts that may pose a security risk.

    Action: Review the user account. Consider removing if no longer needed.

  • Unsynced Devices (24h):

    When a channel is published, devices should download the new content. If a device has not received the published content after 24 hours, it is flagged.

    Action: Check the device's connectivity and ensure it can reach embed signage to download content. Related: Firewalls, Networking, Ports and Topology.

  • Failed Services:

    External service integrations (e.g., third-party data sources such as Power BI) that have authentication failures, are unauthorised, or whose authorisation tokens have expired. These services cannot provide data until re-authorised.

    Action: Re-authorise the affected service from Account Settings > Services.

  • Unused Media:

    Media files that meet both of the following conditions:

    1. Not in use: Not referenced in any layout or playlist (playlists/zones)

    2. Over 6 months old: The file was uploaded more than 6 months ago

    Action: Review the media file. Delete if no longer needed, or add it to a layout.

  • Oversized Media:

    Images or videos whose dimensions significantly exceed the resolution of the devices they are published to. The system compares media width/height against all device resolutions assigned to the channel.

    1. Warning (Amber): Media is 2x to 4x larger than device resolution on at least one axis

    2. Error (Red): Media is 4x or more larger than device resolution on at least one axis

    For example, an 8K image (7680x4320) published to a 1080p device (1920x1080) would be flagged as an error (4x ratio).

    Action: Resize the media to match the target device resolution. Oversized media wastes bandwidth and can slow down device playback.

Devices offline

See the 5x most recent devices to go offline with link to view all offline devices (device page filtered by offline)

Recently published channels

See the 5x most recently published channels and status' for device downloads.

Tip: Hover over the info icon or the 'sync alert' pill to see more details

Recent activity

See the 5x most recent user interactions on your account with a link to view all User Activity Logs (Account Settings > Activity Logs)

Search, Notifications and AI Support Agent

Located at the top right you have:

  • Search (shortcut CMD/CTRL+SHFIFT+F)

  • Notifications

  • AI Support Agent

Click Search to bring up a search box that covers your entire CMS and our embeducation articles, with results segmented into tabs:

Click the Notifications Bell to bring notifications panel, with segmentation into tabs, which includes:

  • Any custom Alerts you have configured

  • Release Notes (only if your user profile has enabled Software/Maintenance notifications)

  • News - blog posts from embedsignage.com (only if your user profile has enabled Marketing notifications)

Finally, for our AI Support Agent, click the 'Chat' icon.

Most users find the answers they need either via our embeducation articles or through conversations with our AI Support Agent.
