How to advance Projects through stages

This article describes the various stages available and how publishers can advance between stages

Engraffo Project Stages

There are (6) stages for Engraffo Projects:

  • Draft: The project is being prepared by the publisher

  • Customer Review: The project is awaiting customer approval

  • Approved, but not live: The project is approved to go live but has not been activated and made live yet. It may be scheduled to go live at a particular date/time.

  • Live: The project is active and the links are live

  • Paused: The project’s data is saved the links are no longer live until re-activated

  • Expired: The project has expired and is no longer accessible

There are a couple of ways to advance Projects within Engraffo, depending on the current stage and whether a customer has been assigned (received and accepted their Project invite).

Remember, a customer can be invited at any Project stage.

How to advance a Project from the initial Draft status

As soon as a Project is created, it automatically defaults to Draft status. Whether or not a customer has been assigned during this stage, only the publisher can advance a Draft Project, as by definition the Project is not fully prepared.

Advancing the Project from this initial stage can be done in one of two ways, depending on whether or not your customer has been assigned (accepted their invitation) to the Project.

Advancing Project stages when a Customer is assigned

If a customer is assigned when the Project is in Draft status, publishers can advance the Project directly from the Current Status box of their Project page by clicking on the Send for Review button. This automatically advances the Project to Customer Review status.

From here, the customer can both approve (Approved, but not live status) and subsequently activate (Live status) their Project directly from their Project page.

At any time, publishers can advance or regress the Project stage by clicking on the Manage Project button on the Project Page. Then click on the Change Status button, and choose the appropriate Project stage from the drop-down menu.

Advancing Project stages when a Customer is not assigned

Without a customer assignment, Projects must instead be advanced by clicking on the Manage Project button on the Project Page. Then click on the Change Status button, and choose the appropriate Project stage from the drop-down menu.


Important Note: Once a Project reaches Live status, whether by the customer or publisher, the Project term has begun and Engraffo billing is triggered. The status of the Project can still be advanced or regressed by the publisher, but the Project term will remain uninterrupted.
