What are Structured Reviews?
Simply put, the Structured Reviews functionality within Eploy allows you to mandate whether specific Discover Forms must be completed, either by a Hiring Manager or Core System User, before an application can be progressed or rejected.
By utilising the Structured Reviews functionality you can:
Mandate whether a specified Discover Form must be completed by a system user (Hiring Manager or Core User) before formally progressing or rejecting the Application
Specify the circumstances when a Structured Review is required, and when it isn't
Allow or restrict Core Users from being able to progress an application without the review having been completed (i.e. skip the review)
Indicate whether different forms should be completed in different circumstances. For example, requiring a review for non-internal candidates and having no review, or a different form, for internal candidates
Specify how many reviews need to be completed (i.e. in the case of a Panel Review, you can specify how many panel members there are, giving each panel member the ability to record their own feedback)
Restrict visibility of completed forms to members of the panel. You can allow all panel members to view each others answers, show grades only, just the names of the panel members, or simply the number of reviews required
Add automated knock-out questions to your review forms
Finally, when combined with the Auto Transitions feature of our Recruitment Workflows, automatically move applications from one stage to the next, based on the outcome of the review.
These settings are all grouped together in to a Structured Review Flow (similar to an Application or Onboarding flow). As with Application and Onboarding flows, you can have one Structured Review flow per Recruitment Workflow stage, meaning you can have as many or as few Structured Reviews in your system as you like.
How are Structured Reviews built?
Structured Reviews are made up of two core elements:
Structured Review Forms. Similar to Application and Onboarding forms, these are the forms we use to capture the specific feedback from managers and recruiters
Structured Review Flow. The Flow is where we capture all the settings for your Structured Review, with one flow for each Workflow Stage where you'd like a review to be completed. Within each flow we capture:
The workflow Stage where the Structured Review will be required
The specific Status that triggers the Structured Review
Any Conditions you'd like to use to route the user to the correct Form e.g. having different forms for different workflows or Candidate types (Internal, External, Agency)
The Forms you'd like to use
The status you'd like to put the application to once the review is completed e.g. rejecting the application if the form contains knock-out questions
For each Form we further capture:
Whether Hiring Managers should be able to see other completed forms
How many Reviewers are required - this dictates the number of users who must complete the form prior to giving formal feedback
Whether any users can progress the application before and after the review is completed

If you'd like to use Structured Reviews, we'll build them in to your system for you. All we ask is that you complete the Structured Review tabs of the Recruitment Workflow specification document and let us know what settings you'd like to use and what questions you want in each form.
The specification document can be downloaded from the Files tab within your Teamwork project. There are two Structure Review tabs to capture the details of your Structured Reviews, but you can always create more if two isn't enough.
On each Structured Review tab let us know:
Which stage in the Workflow does this review relate to
The name of the file you've sent to us which includes the questions you'd like to ask (we'll build the form and questions for you)
Whether you want the Hiring Managers to see each other's responses
How many reviewers are needed
Whether you want add Pass/Fail scoring and, if so, how many of the required reviewers must provide a passing score to be able to proceed with the Application
Whether failed Applications should be automatically moved to a Rejected status
Who can proceed an Application before the minimum number of reviewers has been met
Who can proceed an Application after the minimum number of reviewers has been met
When you're done, please upload your completed form in to Teamwork.
