How do I create a Vacancy Template?

The creation of a Vacancy Template is a relatively simple process.

As part of Phase 2 of your Implementation, you'll have already identified the Vacancy Templates you need to create and the fields which should be completed.

Tip to ensure you're capturing the right information on your Vacancy Templates, make sure you've amended the Vacancy Template Form before creating your Vacancy Templates.

To create a Vacancy Template, first log in to your Eploy Core System.

Next, click on View > Vacancies > Templates, then click the New button on the toolbar.

You'll now be looking at the Create Vacancy Template page - this is where you enter all of the Vacancy information you'll need to capture as part of your template.

From this point, refer to the preparation work you completed during Phase 2 of your implementation and fill out the Vacancy Template as required.

Iif you've decided that you don't want to create some dedicated Vacancy Templates and want a simple blank form for your Hiring Managers to fill in, you'll still need to fill in the Mandatory Fields. These fields will have a red asterisk next to them. If you click the Save button without filling anything in, the resulting Error message will also let you know which fields are mandatory and therefore need filling in.


Testing your Vacancy Templates

Once you've configured your Vacancy Templates you'll need to ensure that you include them within your testing plan for Phase 4 of your Implementation.

Within your Teamwork project, open the Files tab, then open the Phase 4 folder. In here you'll find the Customer Testing Example Scenarios spreadsheet. This document has two worksheets - the first is a list of example/recommended test scenarios. The second is a dedicated area for you to add your own test scenarios.

This second worksheet is broken down in to the main stages of a recruitment process. We'd recommend that, as you complete your Vacancy Templates, you should add a line for each template within the Raising a Vacancy & Sending for Authorisation section.

Doing this as you build each template will ensure that you don't forget to test them when you move in to Phase 4; but also, by testing each template you can be assured that they are behaving as required.
