During the requisition process, or once the vacancy has been set up, you can control how and when the vacancy is advertised. Using the Advertising widget, it is now easier than ever to manage your roles, especially in regards to extending, advertising internally or taking vacancies off the website.
Understanding Advertising
As part of the vacancy summary or the detailed grid view, the advertising widget is available as part of the key information. This is shown with a red or green advertising icon to make it really clear if the role is currently advertised. Clicking this link will allow you to make any changes as required.
If viewing the vacancy in the detailed grid view, you can see the advertising widget below the job title:
Similarly, you can click into the vacancy Summary and manage the advertising settings from here:
In either case, click the link to open the advertising settings, where you will be able to advertise internally, externally and even control for how long.
Advertising Details
Once you click the link, you will be able to set the following fields. Please note that there are multiple conditions required in order advertise a vacancy, so you will need to ensure that all the conditions are met:
Status - Whilst this is driven through the authorisation process, a core system user can override this set either an active (black) or inactive (red) status. In order to be advertised, a role must not have an inactive status.
Positions Available / Remaining - This field is used to identify how many people you will be recruiting for and will automatically decrease as active hires are made. In order to be advertised, a role must have at least 1 position remaining.
Advertise Externally - This tick box will advertise the role for external candidates, so long as the other conditions (live status, positions remaining, appropriate dates entered etc).
Once ticked, you will also be able to set the Advertising Start Date and Advertising End Date. These can be used to control how long a role is advertised.
π€ Tip - If you are advertising on external platforms, using an integrated XML feeds, the Advertise Externally options will be used to control the vacancies inclusion. The role will only appear in the feed once advertised externally.
Maximum Applications - This field allows you to set a maximum number of applications allowed for the role, so that when that limit is reached, the vacancy will be no longer advertised. The vacancy will still be active, but will no longer be advertised externally so no further applications will be received. This count will exclude incomplete applications, so anyone who is incomplete will not contribute towards closing the role.
Advertise Internally - The same options apply for internal only adverts, which will allow you to set Internal Advertising Start / End dates once ticked. If advertising a vacancy internally, this means that internal applicants will be able to see the role in the portal, whereas external candidates will not. It also allows to share specific links to the vacancy for targeted applications, without making available externally.
Once configured, click Save to confirm your changes.
π Note - If advertising the role for the first time, this will likely trigger job alerts for any candidates who have opted in and their preferences match the requirements of the role. Please ensure that you set the requirements first, before advertising the role, which can be done within the Vacancy Details.
Sharing Vacancies
Once a Vacancy has been set Live, several Sharing options become available to you.
Some require the Vacancy to be advertised while others simply require the Vacancy to be at an Active status (i.e. Live).
All sharing options can be found within the Share menu, located at the top right-hand side of the Vacancy Summary.
Social Media Sharing
Social Media sharing options become available when a Vacancy is advertised externally.
Click the Facebook, X, LinkedIn logo to create a post, advertising the Vacancy, linking the user back to the Vacancy.
Click WhatsApp logo to launch WhatsApp Web, which you can link to your WhatsApp account and share a link to your chosen recipients.
π Note - When sharing via Facebook, X or LinkedIn, Eploy will create a post for whichever account you are currently logged into within your browser. I.e. if you are logged into your personal LinkedIn account, this is the account that Eploy will use.
π€ Tip - if you'd like to share a Vacancy via your corporate accounts but the account owner does not have access to Eploy, similar Social Media sharing options can be found within the Vacancy Advertising page on your website.
External, Internal and Hidden Apply URLs
Eploy also includes the facility to share dedicated URLs and QR codes, directly from your Vacancy.
Click the Share icon, then select either the QR code
or URL generator
icons.
You'll now be shown 3 options:
External URL - use this option when your Vacancy is advertised on the website
Internal URL - use this option when your Vacancy is advertised to Internal Candidates only
Hidden URL - use this option when your Vacancy is Active/Live, but not advertised anywhere
π€ Tip - Hidden URLs are great for roles that you're head-hunting for, but don't wish to advertise. They can also be really useful, especially when printed as a QR Code, at Careers Fairs!
