Consent - The Candidate Experience

Providing Consent on Registration

When your Consent module is active, all Candidates will be requested to provide consent to your organisation to process their data as detailed within your Data Privacy Policy.

If you have added contact preferences, these will be included here.

πŸ“Œ Note when the Consent module is active, if a Candidate chooses to not agree to your data privacy policy, they will not be able to complete the registration process.


Renewing and Removing Consent

At any time

Once registered, a Candidate can opt to remove their consent at any time.

Having logged into the Candidate portal, look for the Data Privacy option on the main profile page.

Clicking this will display the Data Privacy options available to them. The options available will depend on whether the Candidate is currently excluded or not and includes:

  • Data Privacy - here they can review the privacy policy and choose to remove their data. If the Candidate is currently excluded, the Excluded Description text from the Consent Module settings will display.

  • Preferences - if you are capturing communication preferences, these can be updated here in addition to Job Alert preferences

Upon receiving the auto-renewal email

When a candidate enters the expiration period, the consent tool will begin to contact them via email, prompting the candidate to update and renew their preferences.

Whilst the content of the email is driven by you within the core system, the process for candidates is to simply click the merge field within the email, which will link to the following page:

The candidate will not have to log into to a portal to access this information, as the link sent to each record will be unique. Candidates will have the same options as above. Any changes made by the candidate will then be immediately available in the core system.
