Before constructing your Flow, you'll need to ensure everything you need has been created in your system:
Forms - Candidate Flows and Structured Reviews need Forms to capture information. These must be built before they can be added to your Flow. When creating your Forms, ensure you're using the right type:
Application Forms are used within Candidate Flows, specifically at Application and Action stages.
Onboarding Forms are used within Hire stage Candidate Flows.
Structured Review Forms are used exclusively within Structured Reviews - you cannot add Application or Onboarding forms to a Structured Review.
Stages and Statuses - to be selected within a Flow, the Stage Names and Statuses you'd like to use must be in use within at least one of your Recruitment Workflows
Fields - fields are used within the Condition Block of a flow and must be created in the system before they can be used. If you have already created your fields, you'll need to ensure that they are visible to Hiring Managers and Candidates if being used within a Hiring Manager facing Structured Review or a Candidate Flow.
Resource Text - if you're creating an Action or Hire flow, you'll be able to include some text within the Things to Do widget displayed to Candidates. To reuse the same text across several flows, you can create a custom Resource. Create a new Page Text field and set the Field Group to Resources (Customer Page Form Text).
π€ Tip you can give custom fields a different name when they appear in the Hiring Manager and Candidate Portal. For example, if capturing size for a uniform, in the Core System the field could be called T-Shirt Size whereas in the Candidate Portal it could be more of a question - Please select your t-shirt size.
New Flow
To begin creating your new flow, open the Eploy Core System and open the Admin menu:
For a Candidate flow, open Flows > Candidate Flows
For a Structured Review, open Flows > Structured Review
For a Compliance flow, select Compliance from the main Admin menu
Once on the flows grid view, click New within the Toolbar.
Settings
You'll now be shown the settings page for your new Flow.
Give your flow a Title and Description, select the Type and Stage. If creating a Compliance flow, you'll also be asked to indicate whether it applies to All users, Hiring Managers or Standard Users. Click Save.
β οΈ Important make sure you've selected the correct Type and Stage - once you click Save you won't be able to change it.
If you're creating a Candidate Flow, you'll now have a new option - Website Display Settings. Here you can indicate whether to display the Progress Bar and Navigation menu. Additionally, for Action and Hire flow types, you can select or enter the text to be displayed within the Things to Do widget on the Candidate Portal.
Design
Having added all your settings, switch to the Design Tab to build your flow.
Your flow is built using Blocks and Connectors.
Start Block
Each flow will already contain a Start block. Click the + to select the Statuses you'd like to use as your starting point(s). Each status you add will have it's own Anchor point you can use to connect to Condition or Form blocks.
If building a Compliance Flow, select the Status or Action Outcome that should trigger the check. For example, if you want to prevent a user from updating the status of a Hire to Onboarding Complete if key actions have not been completed, Onboarding Complete should be your starting status.
Condition Block
To add a Condition block, click Add Condition. Drag the new Condition block to a suitable location on the canvas and click the + to create a new Condition. Multiple conditions can be added into a single block, each condition having its own anchor point to connect to another condition, form or status block.
π€ Tip each condition you add to a condition block has its own anchor point. There is also an additional anchor point located at the bottom of the block. Use this anchor point to indicate the path that should be followed if none of the conditions are met.
Compliance Conditions
When creating a condition for a Compliance Flow, the Condition Block is used to define the conditions which, when satisfied, prevent the progression of the Application/Action/Hire/Opportunity to the specified status/outcome and display a suitable warning message.
For example, if you need a file to be provided or a field to be completed to allow the progression of the record, you need to create a filter to identify records where the field is not completed or where the file hasn't been provided.
Forms
To add a Form, click Add Form and select the form to add from the list. Drag your new Form block to a suitable location on the canvas. If your form is Graded, you'll see an additional + within the block - click this to add each grade as a unique anchor for the block.
To add a Status block, click Add Status and select a status from the list. Drag your new Status block to a suitable location on the canvas.
π€ Tip when working on the canvas, if you'd like a bit more room, click Toggle Fullscreen to hide the menus, effectively making the canvas full-screen! You can also zoom in and out of the canvas by scrolling up and down on your mouse-wheel. You can also move the canvas around by dragging and dropping it with your mouse - just make sure you click on the canvas itself, otherwise you'll end up moving a block or connector.
Having added all your required blocks, click Save.
β οΈ Remember having finished your flow, return to the Settings tab and Activate the flow.
Form Settings - Structured Reviews
Forms within a Structured Review have their own settings. To view them, click the 3-dot kebab menu
next to the Form name and click Form Settings.
You'll now be able to specify:
Whether Hiring Managers should be able to see each other's responses and, if so, to what level of detail
The number of required reviewers
Which user type can progress the application before the minimum number of viewers has been reached
Which user type can progress the Application after the minimum number of reviewers has been reached
Add Message - Compliance Flows
Compliance Flows do not include the facility to change a status or fill in a form. Instead, a message is displayed when the condition is met.
To add the message text click Add Message. You'll be immediately asked to enter the message to be displayed.
Although the message should be sufficiently detailed to tell the user what the error is and how to resolve it, you should try to keep it as succinct as possible.
Test your Flow - Candidate Flows only
Candidate Flows include the ability to carry out a test before activating it.
To test a Candidate flow, access the Settings tab of the flow in question and click Test.
Select the Website to use, a suitable Vacancy and Candidate, then click Test.
A new tab will open and you'll immediately be directed to the appropriate area of the Candidate Portal where you can complete the test.
β οΈ Important when testing a flow, Eploy will create an actual application for the Candidate and Vacancy in question. Please ensure you're using a test candidate when testing a Candidate Flow.
