Type and location of Email & SMS templates

There are several different types of email & SMS templates available within Eploy, with each one used in specific circumstances.

Email & SMS Merge

Accessed via Admin > Contact Templates > Email & SMS Merge, these are your general, every day use, email and SMS templates.

If you need to add an email template to a Recruitment Workflow notification, you can create them here. You would also use this section if you were creating ad-hoc templates to send at any time to contacts or candidates.

Portal Notifications

These templates are used whenever there is an event within the Candidate Portal that would trigger an email e.g. Candidate Registration, submitting an Application, sending a job to a friend, etc.

All Password Reset email templates are also located here.

Portal Notifications can be found within Admin > Contact Templates > Portal Notifications.

iCal Templates

An iCalendar (iCal, for short) is the Eploy equivalent of sending a meeting invitation from your main email calendar and can be found within Admin > Contact Templates > iCal Templates.

Once set up and linked to an Action Type, iCals can be automatically sent to Hiring Managers and Panel Members whenever an interview is scheduled. Having accepted the iCal, the event will appear in their calendar and receive automatic updates if the date or time changes.

Two Factor Authentication

Specifically for Standard, Hiring Manager, Vendor and Employee users, these email templates are used whenever you activate Two Factor Authentication as part of your login process.

These templates can be found within Admin > System / Security Settings > Two Factor Authentication.

Consent

Used exclusively within the Consent module (Admin > Consents > Candidate/Contact > Emails), these email templates are used when a candidate's consent is about to expire, letting them know that it's due to expire and requesting they approve your continued use of their data.

Authorisation

These email templates are used as part of your Vacancy and Hire authorisation processes and are sent to designated approvers and additional recipients throughout the workflow.

Navigate to Admin > Authorisation Workflows > Emails to view and amend these templates.

Job Alert

Used within the Job Alerts module, there are two types of Job Alert emails - one that includes full details of a Vacancy and is used when a Candidate matches with a single job, with the second used when the candidate matches with multiple jobs and includes high-level information about the roles.

Navigate to Admin > Job Alerts > Emails to find and amend these templates.

Reference Collection

Located within Admin > Reference Collection > Emails, these are the email templates used as part of the Reference Collection module.

You can create templates to send to Referees, Candidates and Users.
